Role Overview



We are seeking a

Receptionist & Marketing Coordinator

to join our team in-office three days a week (Tuesday - Thursday). In this dual role, you will manage the front desk, greeting clients and keeping the office running smoothly, while assisting the marketing team with project coordination and administrative support.

This is the perfect position for someone who loves checking items off a to-do list, and wants to gain hands-on experience in an advertising environment.

Key Responsibilities



Reception & Office Management



First Impressions:

Serve as the first point of contact for clients and visitors, providing a warm and professional welcome.

Communications:

Answer and screen phone calls, manage general email inquiries.

Office Upkeep:

Maintain a tidy reception area and conference rooms; order office supplies and ensure equipment is working.

Scheduling:

Assist with scheduling meetings and greeting clients upon arrival.

Marketing Coordination



Project Tracking:

Use

Asana

to update project statuses, assign tasks, and ensure the team stays on deadline.

Document Management:

Create, format, and organize documents and spreadsheets using

Google Workspace (Docs, Sheets)

.

Support:

Assist with proofreading, and client coordination.

Qualifications & Skills



Tech Savvy:

Proficiency in

Google Workspace

(specifically Docs and Sheets) is required.

Project Management:

Prior experience with

Asana

(or similar project management tools) is highly preferred.

Communication:

Excellent english (verbal and written) communication skills.

Personality:

You are friendly, outgoing, and confident in interacting with clients and team members.

Organization:

Strong attention to detail and the ability to multitask in a fast-paced environment.

Experience:

Previous experience in an administrative, reception, or marketing assistant role is a plus.
