is looking for a front desk receptionist to join our current team of six staff. We are a long-standing notary office with 40+ years located in the heart of Cloverdale, providing legal services to clients in areas of Real Estate, Wills, and Personal Planning.
Responsibilities:
?Contributing to a positive and respectful office atmosphere.
Greeting clients, couriers and all office visitors who walk through the front door.
Answering phone calls, directing callers to the appropriate legal department (Wills vs. Real Estate), and scheduling appointments.
Communicating by phone and email with clients, realtors, mortgage brokers, banks, and other legal offices.
Distributing incoming faxes to the correct legal department.
Preparing and issuing invoices for notarizations.
Collecting payment from clients and issuing receipts.
Preparing clients for their meeting with the notary, including: collecting, verifying & scanning/copying identification; collecting any additional information required for a file; settling clients into the boardroom prior to meeting with a notary.
Opening Will and Conveyance files, including: opening a file number, recording client information into office programs (to create or add to existing client cards), opening physical files, and providing the file to the correct department.
Maintaining boardrooms and restocking/placing orders for office supplies.
Organization and management of physical and material resources.
Completing or assisting with closing files, as required.
Processing incoming & outgoing mail and couriers.
Filing, photocopying, scanning.
Completing bank-runs to facilitate deposits of sale proceeds to other legal offices.
Assisting with other administrative tasks, as required.
Requirements:
This person will be 'chief of first impressions' for our business. Therefore, our receptionist needs to be friendly and engaging with clients. This job is meant for someone who is service-oriented, dressed appropriately (business casual), and enjoys conversing with people of all ages, including seniors.
Candidates must be able to contribute meaningfully to a team environment, to take initiative, to prioritize work and ensure compliance with deadlines, to show attention to detail, to act professionally, and to have excellent verbal and written English-language communication and interpersonal skills.
Be able to work independently and have a strong ability to multi-task and problem-solve.
This person should demonstrate a willingness to learn and take initiative and should have a positive attitude, including being receptive to feedback.
Driver's license and vehicle required.
Candidates should have a strong proficiency with Mircrosoft Word, Excel and Adobe.
Preference will be given to candidates with experience working in a legal office.
Familiarity with legal software and programs like myLTSA Enterprise and BC Registries is an asset.
Job Type & Compensation:
Permanent, Full-time (Monday - Friday, 9am - 5pm with an hour break for lunch) - 35hours/week

$25 - $28/hour
