Job Description

The Receptionist is responsible for overseeing front desk operations, ensuring all visitors are welcomed and directed appropriately. Key duties include managing building access and security, coordinating incoming and outgoing mail, acting as the primary contact for building maintenance issues and vendors, and organizing and providing technical support for meeting spaces. The Receptionist maintains clean and professional front-facing spaces, manages room bookings, supports office communications, reviews and approves or denies all non-emergent maintenance requests as appropriate; arranges for completion of approved requests, ensures timely completion of annual hazard assessments and workplace inspections as needed, fulfills fire warden duties for the first floor and assists with routine administrative tasks. In addition to daily front desk responsibilities, the Receptionist will manage key and locker assignments, maintain awareness of individuals accessing the Covenant space via main floor stairwells and elevators, support SharePoint content updates, assist with AV/IT for meetings, and contribute to internal newsletters and communications. The Receptionist will also work closely with their team and handle projects as assigned and participate in coordination of events. This is a non-unionized, on-site position with no hybrid or remote work options.

Required Qualifications:

High school diploma or recognized equivalent. Minimum of 3-5 years' experience in an administrative, customer service, or reception role. Excellent verbal and written communication skills with a strong focus on professionalism and customer service. Demonstrated understanding and commitment to Covenant's Mission, Vision and Values; and a Commitment to sound professional ethics, tact and high work standards.

Additional Required Qualifications:

Demonstrated ability to work independently and manage multiple tasks and interruptions efficiently. Experience using Microsoft Office Suite, including Excel, Word, Teams, PowerPoint, and Outlook. Proven ability to manage confidential information with discretion and tact. Strong organizational skills and attention to detail. Demonstrated ability to build positive relationships with internal staff, visitors, and external vendors. Ability to work independently with minimal direction/supervision. Experience working with or managing SharePoint sites, including page creation, access controls, and content updates. Familiarity with meeting room AV setup and basic IT troubleshooting. Ability to coordinate logistics for large meetings and events. Comfortable with repetitive tasks and routine responsibilities. Ability to work in a stationary position for extended periods. Must be reliable, punctual, and able to maintain a clean, professional workspace.

Preferred Qualifications:

Post-secondary training in Office Administration or related fields. Experience in facility or building operations, key/locker management, or mailroom logistics. Experience with newsletter development and SharePoint communication tools. Experience editing and formatting Word and PDF documents for professional reports. Previous experience in a health care or executive office environment is considered an asset.
