POSITION SUMMARY:



Reporting to the Employee Assistance Experience Supervisor, the Receptionist is the first point of contact for clients at the Employee Assistance Centre and is responsible for creating a welcoming and professional environment. Key duties include assisting clients in person and by phone, maintaining confidential client records, and various administrative tasks including data entry. Flexibility to work daytime, evening, and weekend hours is essential.



DUTIES AND RESPONSIBILITIES

Respects and protects client rights and confidentiality. Appropriately responds to inquiries and directs calls from clients and counsellors. Monitors client appointments using manual and computerized systems. Greets, identifies, and directs clients to designated counselling rooms. Processes, manages, and maintains various confidential case records such as forms, summaries, and reports in accordance with established policies and procedures. Performs routine clerical work and data entry. Keeps work area and counselling rooms clean, organized, and stocked with appropriate supplies. Supports the processing of Employee Assistance Program claims following established policies, procedures, and controls. Maintains knowledge of clinical policies and practices to assist intake staff as required. As approved by Manager, Employee Assistance Services, undertakes such professional development as may be required to remain effective in this position. Performs other related duties, as assigned.

QUALIFICATIONS AND SKILLS:



Applicants must have flexible availability, including daytime, evening, and weekend shifts. Excellent communication skills, a compassionate attitude, and the ability to multitask. Dedicated to the principles of exceptional service; committed to responding to, anticipating, and addressing customer needs for both internal and external customers. Minimum Grade 12 education. A Community College diploma in office administration is preferred. An equivalent combination of education and related experience may be considered. Previous clerical/administrative experience is an asset. Good working knowledge of Microsoft Outlook, Word, and Excel Personable, self-directed, and dependable. Exercises sound judgment, tact, and discretion. Excellent communication and interpersonal skills. Must be able to work cooperatively in a multidisciplinary, team-based environment and possess the reliability to work independently with limited supervision. Excellent organizational skills with the ability to manage multiple tasks with frequent interruptions. Knowledge of Provincial and clinical privacy and confidentiality regulations. Knowledge of EAP or clinical practice is an asset. French language proficiency is an asset.
