Job Overview


We are seeking a highly organized and professional Receptionist/Assistant to join our team. The ideal candidate will serve as the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires a blend of clerical skills, attention to detail, and the ability to multitask in a fast-paced environment. Experience in a medical or dental office is preferred but not mandatory.

Responsibilities



Greet clients and visitors warmly, providing a positive first impression of the organization. Manage multi-line phone systems, directing calls appropriately and handling inquiries with professionalism. Perform data entry tasks accurately and efficiently, ensuring all information is up-to-date in our systems. Maintain organized filing systems for both physical and electronic documents. Assist with bookkeeping tasks, including invoicing and tracking payments using QuickBooks. Support administrative functions such as scheduling appointments, managing calendars, and coordinating meetings. Utilize Microsoft Office Suite and Google Workspace for document preparation, correspondence, and presentations. Provide customer support by addressing client questions and concerns promptly. Proofread documents for accuracy before distribution or filing. Ensure the front desk area is tidy and welcoming at all times.

Requirements



Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Strong computer skills Excellent organizational skills with the ability to prioritize tasks effectively. Strong typing skills with attention to detail for accurate data entry and documentation. Exceptional phone etiquette and customer service skills to foster positive client relationships. Ability to work independently as well as part of a team in a dynamic environment. Previous clerical experience is beneficial; familiarity with filing systems is preferred. Pay: $32,659.64-$54,074.31 per year
