The Receptionist at our long-term care facility provides essential administrative and front-desk support, ensuring a welcoming environment for residents, visitors, and staff. This role also supports admissions and discharges, assists employees with Workday, and provides key administrative help to the scheduler for shift replacements due to staff absence calls.
Key Responsibilities:
Greet and assist residents, families, staff, and visitors professionally and compassionately
Answer and direct incoming calls and emails promptly
Maintain and monitor visitor sign-in/out procedures and ensure security protocols are followed, parking logs.
Prepare admission folders for new residents, ensuring all necessary forms and materials are included
Support discharge processes, including document preparation and interdepartmental coordination
Use PointClickCare (PCC) to access and update resident records and administrative entries
Create and manage batches for billing, data entry, or other documentation purposes
Assist employees with Workday navigation, troubleshooting, and locating forms or schedules
Assist the scheduler with replacing staff sick calls by contacting staff, updating the schedule, and documenting changes
Use Microsoft Office (Word, Excel, Outlook) for internal communications, scheduling support, and general documentation
Manage mail distribution, courier deliveries, and office supply inventory
Maintain a clean, organized, and professional front desk area
Handle confidential information in compliance with PHIA and facility policies
Support communication during emergency drills or critical incidents
Qualifications:
High school diploma or equivalent; post-secondary education in office administration is an asset
1-2 years of receptionist or administrative experience, ideally in a healthcare or long-term care setting
Proficient in Microsoft Office (Word, Excel, Outlook, Teams)
Experience with PointClick Care preferred
Familiarity with Workday or similar HR/payroll systems
Ability to assist with shift replacement due to sick calls, including communication and documentation
Excellent communication, multitasking, and organizational skills
Friendly, compassionate, and respectful demeanor
Ability to maintain confidentiality and follow privacy legislation
Working Conditions:
Front desk role in a busy healthcare environment
Frequent interaction with residents, families, and staff
May require occasional evening or weekend coverage
Some walking and lifting of supplies may be required
