We are seeking a dedicated and professional Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service and administrative support. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment.
Duties
Greet and assist clients and visitors in a friendly and professional manner.
Manage multi-line phone systems, directing calls appropriately and taking messages as needed.
Perform data entry tasks accurately, maintaining up-to-date records in our systems.
Handle filing and organization of documents to ensure easy access to information.
Provide clerical support including typing, proofreading documents, and preparing reports.
Utilize Microsoft Office Suite and Google Workspace for various administrative tasks.
Assist with bookkeeping duties as needed, including managing invoices and payments using QuickBooks.
Maintain a clean and organized front desk area to create a welcoming environment for clients.
Support the team with customer service inquiries and provide information about services offered.
Collaborate with other staff members to ensure smooth office operations.
Requirements
Previous office experience is preferred, with a focus on administrative roles.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace is essential.
Strong computer skills with experience in data entry and clerical tasks.
Excellent organizational skills with the ability to manage multiple priorities effectively.
Exceptional phone etiquette and customer service skills are required.
Experience with multi-line phone systems is a plus.
Familiarity with medical or dental office environments is advantageous but not mandatory.
Knowledge of QuickBooks or similar bookkeeping software is desirable.
