POSITION SUMMARY

We are looking for a client service and team oriented individual to project the image of our Firm in the position of Receptionist. The successful candidate will have a warm and friendly demeanor, willingness to deliver excellent customer service to both internal and external clients and be able to build rapport with all clients and members of the Reception and Hospitality Team. A client-care attitude, polished approach and professionalism are required. The hours are generally Monday to Friday from 8:00am to 4:00pm, due to the nature of the role, flexibility to work overtime may be required to meet the demands of the position.

RESPONSIBILITIES

  • Offer a friendly and professional greeting to clients and visitors to the Firm.
  • Provide switchboard services by routing telephone inquiries and providing Firm information.
  • Provide a timely response to all inquiries.
  • Maintain accurate Reception records.
  • Proficiency with meeting room bookings and meeting requirements, including ordering of last minute food and beverage requests for meetings.
  • Accuracy and attention to detail are vital in this role.
  • Participate in the Firm\'s Emergency Response and security procedures.
  • Offer refreshments to clients and visitors, maintain a tidy reception and client waiting area at all times.
  • Assist Hospitality Team.
  • Other duties as assigned.
REQUIREMENTS
  • Office Administration Certificate would be an asset.
  • Previous reception/switchboard experience or related professional office experience considered an asset.
  • Professional appearance, conduct and confidentiality are vital to this role.
  • Strong interpersonal skills including excellent written and verbal communication and a confident professional telephone manner are required.
  • Proficient with Microsoft Office Products including Outlook as well as online meeting room booking systems and switchboard programs.
  • Excellent organizational and time management skills.
  • Aptitude for multi-tasking, prioritizing and solving problems in a fast paced environment.
  • Bring a positive and cheerful attitude and approach to work.
  • The desire to provide outstanding customer service even when faced with challenging situations, with an ability to take initiative, be flexible and work well under pressure.
  • Self-motivated and can work effectively both independently and as a part of a team.
