Working as part of a multi-disciplinary team, the Administrative Assistant - Huddle South Central will create a safe, supportive, inclusive and welcoming environment for youth to be active decision-makers and partners in service delivery and programming. Grounded in person-centered, culturally safe, anti-oppression and social justice oriented practice and a commitment to compassionate and responsive and equitable processes, the Administrative Assistant plays an integral role in increasing access to young people and families to health and social service supports.
Administrative Support
Maintains and manages front office area providing support by greeting and supporting visitors, answering inquiries regarding Huddle and community services and/or referring questions to the appropriate team members.
Coordinate, prioritize, and track the flow and distribution of telephone, in-person appointments and drop-ins, mail and electronic information.
Provide support to individuals utilizing walk up and drop in services
Maintains and populates staff appointment schedules (booking, cancelling, rescheduling appointments)
Updates program materials
Filing and other administrative/office duties as required.
Crisis-Intervention and De-Escalation
Assist in supervising participants with support from other youth program staff.
Evaluate immediate safety risks, de-escalate and diffuse conflict in an assertive, timely fashion
Act as a first responder (CPR/First aid)
Create and facilitate a calm, compassionate environment for those experiencing distress.
Qualifications
Completion of high school
Recognized administrative/office assistant program/training
Minimum 2 years' experience of administrative assistant experience preferably in a community health organization
Knowledge of healthcare operations
Proficiency in use of the Microsoft Office Suite of applications including Word, PowerPoint, and Excel.
Understanding and experience with databases and scheduling software
Experience with Accuro preferred
Criminal Record Check required
Child and Adult Abuse Registry Checks required
Fluency in French an asset
