We are seeking a Mature detail-oriented and organized Administrative Assistant to support our office operations. The ideal candidate will possess strong clerical skills, excellent communication abilities, and proficiency in various office software. This role involves managing daily administrative tasks, providing exceptional customer service, and ensuring smooth office workflow. Experience with medical or dental offices, bookkeeping, and multi-line phone systems will be considered a plus. The position offers an opportunity to work in a professional environment where organizational skills and attention to detail are highly valued.
Responsibilities
Reception:
Answer general phone inquiries and direct calls to appropriate departments/take messages.
Reply to general information requests with the accurate information.
Meet and Provide support and direction to all visitors.
General housekeeping, keep work area clean.
Maintain electronic and hard copy filing system
Office administration:
Provide administrative support to management and all departments.
Prepare, and at times create internal and external correspondence (Letters, memos, emails, faxes)
Prepare and send outgoing faxes, mail, and courier parcels
Proof of employments, room bookings and vehicle pass for clients,
Sort any incoming correspondence and forward to correct department
Clerical duties including PowerPoints, bulletins photocopying, fax and mailing
Workhub adding or inactivating employees, adding the training Certificates, and all other duties within the WorkHub program.
Data entry online programs, setting up training for all subcontractor, and staff.
ELD Logs and Auditing
Building and monitoring Spree sheets,
Pipe inventory tallies and invoicing the pipe sales.
Filing Truck paperwork and any other filing needed
Assisting with Orientations and New hires
Subcontractor pre-qual packages, tracking, orientations, D&A Test set ups
Set up D&A tests and make tickets for invoicing for dispatch.
Entering and keeping track or Safety Statistics and paperwork when requested.
Maintain Supplies orders (books, stationary, cleaning, coveralls, gloves, flags, office supplies, and swag orders)
Place employment adds for management
Titan GPS tracking system helping on weekends when employees call in.
Job Type: Full-time
Pay: $23.00-$26.00 per hour
Expected hours: 40 per week
