As we continue to grow, we are seeking a detail-oriented Receptionist / Office Administrator to join our dedicated team.
Position Summary:
As the Receptionist / Office Administrator, you will be the first point of contact for our clients and partners. You will handle customer service inquiries, process billing and accounts receivable, and manage regulatory compliance requirements (RPRA). Your contributions will ensure smooth office operations and excellent customer experience.
Key Responsibilities:
Respond to customer calls and emails regarding billing matters
Investigate discrepancies or complaints
Provide necessary backup paperwork and clear explanations
Prepare and issue invoices and statements to customers
Receive and post payments (credit cards, EFTs, cheques)
Utilize Microsoft Word, Excel, and other office software to:
Generate invoices
Process credit card payments
Post payments into the internal accounting system
Prepare statements and accounts receivable reports
Monitor and collect outstanding accounts receivable
Conduct collection calls, emails, and issue formal letters
Maintain systematic follow-up and records
Schedule service calls and follow up with customers regarding their requests
Maintain RPRA accounts, registrations, and manifest requests
Ensure accurate record-keeping for collections and accounts receivable
Perform other office administration duties as assigned
Qualifications:
Minimum 2 years of experience in a similar administrative or customer service role
Intermediate proficiency with Microsoft Word, Excel, and the ability to learn new software quickly
Strong organizational and time management skills
Excellent verbal and written communication abilities
Able to deal with difficult customers professionally and patiently
Always represent GIC-GREEN in a positive, respectful manner
Ability to work independently and know when to seek guidance
Experience with RPRA regulatory requirements (asset but not required; training provided)
