The Position:
Reporting to the Executive Director, the
Receptionist
assists with directing clients, contractors and guests to appropriate staff, providing basic referral and information, and ensures a consistent public presence when program or admin staff are not available. They provide essential support to both administration and programs, contributing to a highly effective staff team.
Duties and Responsibilities:
Job duties include, but are not limited to:
Greet clients, vendors, and visitors
Take messages and provide information
Answer questions about the services offered by the John Howard Society of Red Deer, and direct visitors to appropriate people or services.
Answer, screen, and forward telephone calls
Maintain a current record of staff members' whereabouts
Accept messenger and courier deliveries
Perform other clerical duties such as word processing, compiling, and recording data, maintaining files and inventories, operating office equipment, sorting and distributing mail
Set up rooms for activities such as meetings and appointments
Send and receive documents electronically
Maintain a welcoming and tidy waiting area and attached office areas.
Main Office Reception responsibilities include:
Dependability, reliability, punctuality and confidentiality are essential.
Maintaining client, staff and agency confidentiality is essential.
Exercise discretion and consistently maintain strong professional boundaries.
Working collaboratively to meet the demands of a busy office environment.
Maintain tact and professional demeanour under stress.
Maintain strong written and verbal communication and interpersonal skills.
Hours and Compensation:
The Main Office Reception position is a Part Time position (9:00 am to 3:00 pm, Monday through Friday).
Rate of Pay: $18 - $19/ Hr
Requirements:
Post-secondary Certificate in Office Administration or related field
1 or more years previous working experience in an Office Administrative related role is preferred.
Equivalent education and experience may be considered at the discretion of the Executive Director.
Background or related experience in the criminal justice field is considered favorable.
Training or experience in use of Office 365 software and work environments, general office equipment, multi-line phone systems
First Aid with CPR
Clear Criminal record check
Valid driver's license with clean driver's abstract
