Job Description


:POSITION SUMMARY: Under the direct supervision of the Manager, performs administrative/clerical duties for the Realty Services Section.MAJOR RESPONSIBILITIES:

  • Prepares standardized real estate documentation relating to the maintenance, acquisition, development, marketing, leasing and disposal of City land and buildings.
  • Prepares and maintains various correspondence and general documentation, including letters, standard reports, and by-laws.
  • Prepares and reviews real estate documentation, including but not limited to legal descriptions, legal documents, agreements, leases, and licences.
  • Undertakes corporate searches, title searches, registers documents on title, and closes real estate transactions.
  • Prepares associated invoices, records and deposits funds, and maintains financial records for the Section.
  • Takes minutes at weekly staff meetings and other meetings as required.
  • Performs administrative duties and support, including but not limited to updating and maintaining file systems, statistical data, photocopying, faxing, archiving, and scanning.
  • Provides customer service by receiving telephone, electronic, and walk-in inquiries.
  • Maintains the Realty Services area of the Corporate website, as required.
  • Performs such other related duties as may be assigned.
QUALIFICATIONS:Education/Experience:
  • A legal assistant certificate; and
  • Three yearsxe2x80x99 recent experience specializing in legal real estate transactions; or
  • Equivalent combination of education and experience.
Skills/Abilities:
  • Excellent verbal and written communication, and organizational skills
  • Must be at a basic skill level in keyboarding, word processing, and spreadsheet software
  • Basic bookkeeping skills
  • Must be able to use electronic land registration and database software
  • Must possess the ability to deal with confidential issues in a tactful and diplomatic manner
  • Ability to be a team player
Assets:
  • Working knowledge and experience with SAP, TRIM, and Teraview
CONDITION OF EMPLOYMENT:
  • Must undergo a successful Criminal Record and Judicial Matters Check (CRJMC)
