Assist sales agents with daily tasks, follow-ups, and client coordination.
Conduct follow-up calls/emails with clients, leads, and cooperating agents.
Maintain and update CRM systems with leads and client information
Support online advertising campaigns
Ensure all documents are completed accurately and submitted on time.
Respond to client inquiries promptly via phone, email, or text.
Provide updates to clients regarding showings, feedback, and transaction progress.
Coordinate client appointments and maintain a professional standard of communication.
Assist with general administrative duties: answering calls, emails, filing, data entry.
Help maintain office materials, marketing supplies, and transaction documents.
Support the sales team's daily workflow and prioritize urgent tasks.
Assist with preparing CMA reports, neighborhood statistics, and listing price analyses.
Pull property details from MLS, GeoWarehouse, MPAC, and public records when required.
Help organize sales events, client appreciation events, and team marketing campaigns.
Coordinate booking venues, preparing materials, and supporting onsite activities.
Qualifications:
1-3 years of experience in real estate administration, sales support, or customer service
Strong organizational and multitasking abilities
Excellent written and verbal communication skills (English; Chinese bilingual is a strong asset)
Proficiency in Microsoft Office (Word, Excel, Outlook) and CRM systems
Ability to draft, prepare, and review basic real estate forms and agreements
Attention to detail and strong problem-solving skills
Ability to work independently and handle confidential information professionally
Strong customer service orientation
Ability to manage schedules, appointments, and follow-ups efficiently
