Job Description

We are seeking a Real Estate Assistant to join our growing team! You will handle all real estate activities and transactions on behalf of the clients.

Responsibilities:



Greet and welcome visitors in a professional and friendly manner

Answer phone calls, take messages, and direct calls to the appropriate Agent or Staff members

Schedule appointments and maintain the office calendar

Handling correspondence which includes incoming and outgoing mail, emails and faxes

Following-up on emails and phone calls

Inputting relevant information into client database and transaction management systems

File and organize documents

Perform general clerical duties such as photocopying, faxing, and mailing

Arrange meeting and training sessions for the agents

Preparing listing materials: pre-listing presentation, Listing Agreement, sellers' disclosures, comparative market analysis, etc.

Broker loading - uploading and updating listings on MLS

Broker Load - input MLS listings, upload photos, scan documents, process new listing documents (price changes, extensions), etc., enter listing information and appointment instructions into Broker Bay

Register offers on Brokerbay

Utilizing Canva for the generation of marketing materials

Managing Emails, Social Media Sites, Websites, etc.

Qualifications:



Minimum high school education, with a preference to college level courses/ diploma

Minimum 1 - 2 year working experience in Office Administration and/or Real Estate Administration

Excellent written and communication skills

Ability to multi-task

Excellent organization & time management skills

Working knowledge of MS Office (Word, Excel and PowerPoint), email and internet

Experience using Broker Bay, TRREB, WEBForms, Skyslope would be an asset

Experience with LoneWolf is an asset
