We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with office software, and the ability to manage multiple tasks efficiently. Experience in medical or dental office environments is a plus, but not mandatory. Responsibilities
Greet visitors and clients in a courteous and professional manner at the front desk
Manage multi-line phone systems, screen calls, and direct inquiries appropriately
Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
Perform data entry tasks accurately into various software systems such as QuickBooks and other office databases
Handle filing, record keeping, and document management with attention to detail
Assist with administrative duties including proofreading, copying, and organizing documents
Provide excellent customer support by addressing inquiries promptly and professionally
Support bookkeeping activities related to billing and invoicing when necessary
Maintain a clean and organized reception area to ensure a welcoming environment
Skills
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Experience with QuickBooks or similar bookkeeping software is preferred
Excellent computer skills with the ability to learn new software quickly
Previous clerical or administrative experience, especially in medical or dental offices, is advantageous
Exceptional customer service skills with professional phone etiquette
Strong organizational skills with the ability to prioritize tasks effectively
Accurate typing speed and proficiency in data entry and proofreading tasks
Ability to handle multiple responsibilities efficiently in a fast-paced environment
Knowledge of front desk operations, filing systems, and multi-line phone systems
