GENERAL ACCOUNTABILITY





The incumbent is responsible for efficiently quoting all new jobs that are out for tender and to determine specifications are achievable and profitable to the company so as to generate a lucrative client base and increase product awareness. The incumbent is accountable for obtaining requests for quotes from contractors and sales representatives and to coordinate the layout of the specifications.

The Quotations Specialist

is responsible for investigating manufacturer coverage and negotiating with a variety of suppliers to obtain pricing terms and delivery schedules. He/she is responsible for ensuring delivery deadlines are observed and received according to terms of contract.



SUMMARY





The Quotations Specialist is in direct contact with customers, and the sales force. Responsible to assess the job requirements and determine best possible price for the customer and the company to generate a lucrative


customer base.



SUPERVISORY RESPONSIBILITY



No direct or indirect supervisory responsibilities are applicable for the Quotations Specialist. The Quotations Specialist carries out his/her responsibilities in accordance with the Company's policies and the


applicable laws and regulations.


ESSENTIAL DUTIES AND RESPONSIBILITIES





Essential duties and responsibilities include the following. Other duties may be assigned.



1 DUTIES




1.1 Obtains request for quotes from contractors, sales representatives and the Bid Deposit to quote for available jobs. Analyzes specifications and determines if requirements are achievable and profitable to the company. Coordinates the layout of the specification and organizes product requirements on spreadsheets. Maintains contact with customers to introduce products and services available and build a lucrative business relationship. 1.2 Investigates manufacturer coverage of products and examines price, delivery andavailability. Sends applicable specifications to the manufacturer. Negotiates with avariety of suppliers to obtain pricing terms and delivery schedules. Coordinates thequotation with various suppliers to organize a complete package for the customer.Compiles cost prices for the customer to achieve a competitive edge while maintainingestablished profit margins. Ensures job bids are received within specified deadlines. 1.3 Maintains constant relations with customers to compare proposed bids with competitorsin the industry. Generates information from the contractors to determine if proposed bidpackage will be used. Evaluates the job-closing list to determine status and compareprice ranking of competitors. 1.4 Ensures strict delivery terms are observed and received for accepted bids by the suppliers. Confirms delivery and coordinates schedules with the customer. Arrangestype of transportation depending on account specifications. Issues billing for goods received and ensures payment for delivered material.

2.1 Not responsible to coordinate and oversee the work activities of others.



3 ASSET MANAGEMENT




3.1 Analyzes bid proposals to ensure competitive pricing and contracts are developed to generate client base. Negotiates pricing terms with suppliers to ensure a competitive edge over products. Notifies Sales and Marketing Manager if bids are lost tocompetitors due to large variances in pricing terms or product availability.

4 BUDGET & FINANCIAL CONTROL





4.1 Not responsible for budget or financial control within the applicable area.



QUALIFICATION REQUIREMENTS




EDUCATION / EXPERIENCE





High School education plus a minimum of three (3) years related experience in the industry, or the equivalent combination of education and experience.




LANGUAGE SKILLS





Ability to read instructions and memorandums and interpret product specification sheets. Ability to write routine reports and correspondence to customers. Ability to speak effectively over the telephone to customers and provide product knowledge and information. Also required to utilize negotiating techniques

Incumbent is evaluated on effectively quoting new jobs out for tender and evaluating the specifications of the job. He/she is also evaluated on product knowledge, generating a lucrative client base, and souring products with suppliers. Also evaluated on negotiating with suppliers and obtaining the contracting job and expediting in a quick and effective manner to the customer
