The Bread and Butter of the Position:
Reporting directly to Portofino Bakery's Quality Assurance Manager, the full-time
Quality Assurance Coordinator
will be responsible for supporting the Food Safety and Quality Program initiatives and requirements within the QA department.
The individual will proactively coordinate and follow the fundamentals of GMP, HACCP and Pre-requisites and SQF/GFSI Standards for food manufacturing, and other audit programs for compliance and provide leadership and support to the plant and other areas of the company where necessary. The Quality Assurance Coordinator will support the implementation, monitoring and follow-up of Food Safety and Quality Assurance strategies and programs in all aspects of the production and sales process.
Reporting to our Quality Assurance Manager, our
Quality Assurance Coordinator's Responsibilities and Duties
are to:
Ensure that food safety and quality assurance programs are properly implemented and maintained by following regulatory guidelines; auditing, inspections, product quality control and data entry.
Monitor and report compliance to the HACCP Program pre-requisites.
Ensure complete and accurate records related to all GMP, HACCP, and SQF activities are maintained including amendments to the programs, and is responsible for ensuring all verification of records is performed at the required frequency for compliance.
Ensure complete and accurate records related to all Sanitation Program and Pest Control Management activities is maintained (CAPA management, Environmental Monitoring Activities, Lab testing, and other verification activities).
Perform food safety and quality critical control point checks on process as outlined in the HACCP and Quality Program requirements.
Monitor implementation of Food Safety/Quality Programs by performing process checks, sample collections, floor checks, and finished product inspections.
Assist in data entry for all monitoring and verification activities as required. Prepare reports as necessary to record findings and recommendations.
Ensure documents are controlled, and kept up-to-date.
Support and participate in internal, regulatory, customer and other third-party audits and inspections; implement appropriate changes and assist in CAPA closure.
Ensure that all sites are in compliance with all applicable regulatory requirements (CFIA, Health Canada, USDA, FDA, SQF etc.).
Assist in annual re-assessment of Food Safety System and HACCP Food Safety Plans.
Perform on-site verification and validation activities, CCP, CAPA's and other tasks as they relate to the Food Safety and Quality Program.
Investigate and resolve quality deviations, customer complaints and timely close out of CAPAs; trend, track, report and communicate findings.
Assist and support in traceability exercises and mock recall activities.
Assist in packaging and label reviews, packaging design updates and inspections.
Assist in preparing Food Safety and HACCP meeting minutes and issue meeting minutes.
Conduct site self-inspections and drive continuous improvement.
Assist in coordinating Food safety activities as per Food Safety Program Schedule.
Review and monitor production records and provide reports to QA manager on problem resolutions and or recommended changes, and initiating CAPAs and CAPA tracking.
Assist in the review and revision of Company SSOPs, SOPs and policies as needed, and communicate to all business areas where necessary.
Evaluate raw material and on hold products, suggests disposition, and inform appropriate management personnel as required.
Review and maintain the Approved Supplier Program records for compliance and schedule testing as required.
Assist in scheduling and performing: Raw Material Risk Assessments, Allergen Program assessments, product testing, risk assessments, label reviews and product specification updates.
Coordinate and ensure proper execution of the site environmental monitoring program (EMP) as part of the sanitation program.
Assist and support equipment calibration tasks for completion as scheduled.
Work closely with site leadership and supervisory teams on special projects.
Translate and incorporate good manufacturing practices (GMPs) into operational practice.
Schedule and lead Food Safety training of personnel on GMP, Pre-Requisites, HACCP and CCP requirements as required. Assist in developing, scheduling and conducting training activities across multiple teams and sites.
Provide support to operations with the objective of meeting food safety and quality requirements, while maintaining production efficiency.
Follow all company Occupational Health and Safety workplace standards at all times, and leads by example.
Monitor and provide coaching to QA technician and QC Specialist team members on scheduled tasks and duties and provide regular updates on progress and timelines.
Perform as back up for QA Technician.
Perform as back up for the Quality Assurance Manager and/or QA Supervisor.
Occasional overtime may be required, or occasional out of shift work.
Additional duties as assigned by Quality Assurance Manager.
Present a professional and respectful attitude when dealing with both internal and external contacts and will work towards facilitation a team atmosphere within the company.
Assist in the maintenance of the Food Safety Programs, on-site audits for all Distribution Centers and all activities associated with the program.

The Ingredients You Bring to the Table:
Bachelor's Degree in Food Science, or related field, job experience will be considered.
2-5 years of work experience in a HACCP Coordinator role in the food manufacturing industry.
Hold valid HACCP coordinator certification (within the last 5 Years)
Minimum 2 years experience in developing/implementing/maintaining HACCP systems, conducting CAPA/investigation reporting, internal audits, handling customer complaints and mock recall.
In-depth knowledge of GMP, HACCP, Pre-Requisite Programs and SQF/GFSI systems.
Experience in SQF and FSMA an asset
PCQI and SQF Practitioner designation an asset
Good Knowledge of Good Manufacturing Practices, HACCP in the food industry and SQF requirements.
Good understanding of Quality Assurance practices and procedures.
Strong verbal and written communication skills.
Experience in the delivery of training and coaching programs an asset.
Superior organizational skills and proven ability to work in a fast-paced environment with competing priorities.
Excels in troubleshooting and problem-solving.
Attention to detail; proficiency in analyzing information, good record keeping.
Aptitude to read and interpret documents such as production schedules, safety rules, operating instructions and procedure manuals.
Ability to write routine reports, compile and document statistical data to maintain quality, and quantity and ensure products meet specifications.
Ability to work in a fast-paced environment with competing priorities, and ability to shift priorities according to business needs.
A team player who can balance team and individual responsibilities while exhibiting objectivity and openness to peers' views.
Willingness to learn and teach others.
Ability to work in a team or independently with minimal supervision.
