As we continue to grow, we are looking for a driven and detail-oriented Purchasing Specialist to join our team and support our end-to-end supply chain operations.
Job Summary
Position: Purchasing Specialist
As the Purchasing Specialist, you will play a key role in developing and executing procurement strategies that ensure timely, cost-effective supply of materials to support our production lines. This role combines hands-on purchasing, vendor management, inventory planning, and cross-functional collaboration to meet business goals and support demand forecasts.
Responsibilities:
Demand Planning & Forecasting
Develop and implement annual demand planning and purchasing strategies.
Analyze historical data, production trends, and market information to generate accurate forecasts.
Work closely with cross-functional teams (Production, QA, R&D) to align purchasing plans with demand and production schedules.
Procurement & Vendor Management
Source and evaluate suppliers for both direct and indirect materials (ingredients, packaging, equipment parts).
Negotiate contracts and pricing agreements to achieve cost savings and quality standards.
Monitor vendor performance and manage supplier relationships to ensure reliability and compliance.
Purchase Order Execution & Inventory Control
Prepare and process purchase orders in a timely and accurate manner.
Monitor order status, expedite overdue items, and manage urgent/rush requests.
Track inventory levels, manage replenishment needs, and ensure stock accuracy using ERP systems.
Maintain and organize purchasing records and support audits as needed.
Record-Keeping & Reporting
Maintain well-organized purchasing records, contracts, and supplier information.
Provide timely and accurate procurement and inventory reports for internal stakeholders.
Support audits and internal reviews by ensuring all documentation is complete and up to date.
Other Duties
Ensure compliance with relevant industry regulations (GMP, CFIA) and internal SOPs.
Support new product launches by sourcing and validating new materials.
Perform other related duties as assigned by management.
Qualifications
Education & Experience
Diploma or Bachelor's degree in Business, Supply Chain, or a related field.
Minimum 1 year of demand planning experience; sourcing experience is an asset.
Experience in the Natural Health Products manufacturing industry is preferred.
Skills & Attributes
Strong communication, negotiation, and problem-solving skills.
High attention to detail and strong data analysis capabilities.
Ability to manage multiple priorities in a fast-paced environment.
Proficient in Microsoft Excel (VLOOKUP, Pivot Tables) and ERP systems.
Bilingual in English and Mandarin or Cantonese (required).
