Position: PURCHASING COORDINATOR



Location: Long Sault, ON



Department: Purchasing



Reports To: Purchasing Manager



Job Summary:



The Purchasing Coordinator is an entry-level position and responsible for managing and coordinating all aspects of the purchasing process to ensure timely and cost-effective procurement of goods and services. This role requires close collaboration with vendors, internal departments, and other team members to meet the organization's purchasing needs. The Purchasing Coordinator will assist in maintaining inventory levels, data entry, file management, processing purchase orders, and handling supplier communications.

Key Responsibilities:



Assist in the preparation, creation, and management of purchase orders for goods and services.

Communicate with vendors to ensure timely delivery and follow up on outstanding orders.

Maintain accurate records of purchase orders, vendor communications, and invoices.

Ensure all orders meet the specifications required by internal departments.

Monitor inventory levels and assist in ordering stock to prevent shortages or overstock situations.

Work with the inventory and warehouse teams to ensure that the goods received are properly tracked, documented, and stored.

Conduct regular inventory checks and report discrepancies to the purchasing or supply chain manager.

Assist in developing and maintaining relationships with key vendors and suppliers.

Evaluate supplier performance, including delivery times, product quality, and pricing, and report findings to management.

Address and resolve any issues related to order discrepancies, quality concerns, or shipping delays.

Process and track invoices, ensuring that they match the corresponding purchase orders and receipts.

Maintain detailed records of transactions and monitor the purchasing budget to help control costs.

Assist in preparing reports on purchasing activities, spending, and inventory levels for management.

Act as a liaison between purchasing, sales, and inventory controller to ensure alignment on inventory needs and delivery schedules.

Communicate effectively with other departments to address procurement needs and project deadlines.

Assist the purchasing manager in implementing and improving purchasing processes and procedures.

Ensure compliance with company policies, procedures, and standards related to procurement activities.

Maintain proper documentation of purchasing transactions for auditing and reporting purposes.

Stay informed about industry's best practices, supply chain trends, and compliance regulations.

Qualifications:



A bachelor's degree in business, Supply Chain Management, or a related field, would be considered an asset.

High school diploma or equivalent with relevant work experience may be considered.

1-3 years of experience in purchasing, procurement, or inventory management would be considered an asset.

Strong organizational and time management skills with attention to detail.

Effective communication and interpersonal skills for vendor and cross-departmental interactions.

Proficient in Microsoft Office Suite (Excel, Word, etc.), with the ability to learn and adapt to new software and systems.

Ability to work independently and manage multiple tasks efficiently.

Problem-solving skills, particularly in resolving vendor or product issues.

Certification in procurement (e.g., CPSM, CPP) is a plus but not required.

Working Conditions:



Full-time position with regular business hours. Occasional travel may be required to meet with suppliers or attend trade shows. Overtime may be required based on order volume and Sealift deadlines.
