The Administrative Assistant is responsible for providing direct support to the Public Works Manager and the daily needs of the Infrastructure Department. To provide direction to the Custodial Supervisor and administrative support the Public Works Operators and the Facilities Maintenance Manager as required by the Public Works Manager.
Duties and Tasks:
Provide direct administrative support to the Infrastructure Sector in the operations and maintenance of all Public Works and Facilities
Coordinate Infrastructure monthly meeting
Working with LNIB Accounts Payable department, organization, coding and processing payment of departmental invoices
Providing purchase orders for the Public Works Operators and Facilities Maintenance Manager
Issuing keys and security codes for public buildings and booking of public buildings for community events
Assist with the preparing reporting documents to INAC, FNIIP, ACRS, MTSA and capital projects reporting
Assist with the preparation of the annual Budget for Public Works
.'Liaison with internal and external companies and public, draft public notices/letter and assist in preparation of department newsletter submission
Assist with staff training and assist with travel arrangements for training
Order material and supplies for department
Assist with scheduling of ditch rider and water & wastewater systems circuit rider
Assist with Asset Management Planning
Responsible for all Infrastructure files
Sit on the Health & Safety Committee
Assist other departments as requested from the Public Works Manager
Qualifications:
Certificate in Business Administration or secretarial; or an acceptable combination of education and progressively responsible experience
3 years of direct work experience in an executive capacity, preferably with a First Nations' organization providing similar services
Skill Requirements:
Good verbal and written communication skills
Team oriented with excellent interpersonal skills
Good time management skills and the ability to prioritize tasks with minimal supervision and meet deadlines
Hands-on experience with MS Office 365 - Word, Excel, Outlook, Publisher, PowerPoint, SharePoint
Knowledge of supplies, equipment, and/or services ordering, as well as inventory control of these items
Ability to maintain filing systems and basic database systems
Meticulous records maintenance skills
General mathematical and budgeting skills
Intimate with the culture and traditions of the Lower Nicola Indian Band
A member of the Lower Nicola Indian Band and/or an ability to speak or willingness to learn the Nlaka'pamux language.
