Job Description

The Proposal Specialist is responsible for managing the development of proposals in response to requests for proposals (RFPs), requests for information (RFIs), and other documents. This role involves coordinating with cross-functional teams, writing and editing proposal content, and ensuring all submissions align with the company's strategic objectives and compliance requirements.

Responsibilities

:

Proposal Management:

Lead and manage the end-to-end proposal process, including timeline creation, team coordination, and final submission.

Analyze RFPs, RFIs, and other solicitation documents to understand client needs and requirements.

Develop and maintain a proposal calendar, ensuring all deadlines are met.

Content Development:

Write, edit, and format proposal content to ensure clarity, consistency, and compliance.

Collaborate with subject matter experts (SMEs) to gather necessary information and tailor content to the client's needs.

Ensure that proposals are persuasive, well-organized, and visually appealing.

Coordination and Communication:

Work closely with business development, sales, engineering and procurement to gather information and inputs.

Conduct proposal review meetings and manage revisions based on feedback.

Serve as the point of contact for all proposal-related inquiries and communications.

Continuous Improvement:

Analyze and document lessons learned from each proposal effort to improve processes.

Stay updated on industry best practices, tools, and techniques for proposal development.

Identify and implement opportunities for process improvements and efficiencies in proposal development.

Other administrative duties include (not limited to):

File and record keeping for all PO's, quotes and estimation documentation.

Prepare quotations.

Manage and update CRM system.

Requirements

:

Post Secondary education in Marketing, Communications or Business. 5+ years of experience in proposal development, technical writing, or a related role. Strong writing, editing, and proofreading skills with a keen attention to detail. Ability to manage multiple proposals simultaneously. Ability to work under pressure and meet tight deadlines. Experience with bid searches (using various online RFQ platforms) and proposal submission process. Social Media experience considered an asset. Proficient in MS365 applications and SharePoint. Adobe Illustrator & Photoshop experience preferred. Experience with CRM tools (HubSpot preferred). Strong people/communication skills to interface with customers when required. Ability to multi-task, prioritize, and manage time effectively. Organized / attention to detail. Strong communication skills.
Job Type: Full-time

Pay: $60,000.00-$70,000.00 per year
