The Proposal & Marketing Coordinator or Manager is responsible for supporting the development of high-quality proposals and marketing deliverables. This role plays a key part in preparing and editing proposal content, managing compliance requirements, and ensuring consistent branding and presentation across company materials. As part of the proposal process, the position provides layout and formatting support using Adobe InDesign. The role also involves coordinating with various departments to gather necessary information, forms, and supporting content. Additionally, the coordinator assists with tracking deadlines and maintaining proposal schedules to ensure an organized and efficient workflow


The position is based in either Miami or Toronto, with remote work available for the right candidate.

Essential Functions




?Coordinate proposal preparation, including managing


forms, resumes, project sheets, and compliance checklists.


?Edit and proofread narratives to maintain quality and


consistency.


?Populate project information in templates and databases.


?Work within Adobe InDesign to assemble proposals and


basic graphics.


?Maintain library of resumes, project sheets, and boilerplate


content.


?Assist with internal communications (e.g., drafting/editing


press releases, distributing internal educational courses).

Knowledge, Skills, Abilities




?Strong knowledge of proposal development processes,


preferably within the AEC industry.


?Proficiency in Adobe Creative Suite (InDesign, Illustrator,


Photoshop).


?High proficiency in Microsoft Office Suite (Word,


PowerPoint, Excel).


?Exceptional writing, editing, and proofreading skills.


?Attention to detail and ability to maintain consistency in


tone, branding, and formatting.


?Excellent organizational and time management skills.


?Ability to handle multiple projects and prioritize under tight


deadlines.


?Strong interpersonal skills for working across departments.


?Familiarity with corporate branding, marketing strategy,


and visual communications.


?(Manager-level) Ability to lead strategic content


development, mentor staff, and interface with leadership.



Job Requirements


?Bachelor's degree in Marketing, Communications, English,


Journalism, Graphic Design, or related field (or equivalent experience).


?2-4/4+ years of experience in proposal development,


marketing, or communications (AEC industry experience preferred).


?Proficiency in Adobe Creative Suite (InDesign, Illustrator,


Photoshop) and MS Office (Word, PowerPoint, Excel).


?Strong editing, writing, and organizational skills with high


attention to detail.


?Ability to manage multiple deadlines and coordinate with


technical staff.


?Familiarity with branding and corporate communications


best practices.


Minimal travel may be required.
