Aecon\'s is comprised of 2 segments - Construction and Concessions - and has 6 operating sectors including civil east and west, urban transportation solutions, utilities, nuclear, industrial, and international.

PURPOSE OF THE POSITION

This position operates in a deadline driven environment and involves the coordination, writing, and support of major Request for Qualifications (RFQs), Request for Proposals (RFPs), Expression of Interests (EOIs), and Market Sounding submissions for projects led directly by Aecon or working closely with other strategic partners. Position primarily supports proposals/bids in the civil east and west and urban transportation solutions operating sectors (i.e., roads, bridges, transit systems, rail, heavy civil and hydroelectric), but may also require support for Aecon\'s utilities, nuclear, industrial, and international operating sectors.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Review and develop a detailed understanding of client proposal/bid requirements;
  • Develop proposal/bid calendars and responsibility, project, and key individual selection matrices;
  • Create proposal/bid templates, resume templates, project sheet templates;
  • Prepare, edit, and format proposal/bid sections, resumes, and project sheets in preparation for proposal/bid close-out;
  • Track and ensure timely proposal/bid deliverables required from internal and external partners, including health and safety forms, proposal/bid forms, finance support letters, and write-ups from various authors;
  • Review existing proposal/bid content, project work plans, and other relevant sources of information to extract relevant content;
  • Prepare proposal/bid write-ups for various construction related topics (methodologies, risk management issues, staff management, work plans, cover letters, and summaries);
  • Prepare new proposal/bid write-ups based on client requirements and discussions with subject matter experts;
  • Ensure proposal/bid content is relevant and compliant with client\'s proposal/bid specific requirements;
  • Organize and schedule team meetings, prepare meeting agendas, and take meeting minutes;
  • Print, bind, and deliver final proposal/bid submissions or submit electronically as required;
  • Time allocation for this position is approximately 70% reading/writing/editing/formatting and 30% organizational related activities.
OTHER DUTIES AND RESPONSIBILITIES
  • Oversee writing, formatting, and proofing/editing of proposals/bids based on input from multiple authors;
  • Perform regular compliance checks on all submittal documents;
  • Organize team reviews on behalf of the project team (i.e., pink, red, and gold team reviews);
  • Work with graphics designers to develop JV logos, binder, and tab designs and present to consortium;
  • Ensure binders, USBs, tabs, covers and other required materials are ordered and available for final assembly of the proposal/bid;
  • Manage data and input in data rooms or SharePoint sites (input from client, and all bid partners);
  • Attend pre-bid meetings and post-bid debrief meetings and summarize results and lessons learned to report back to the project team; and
  • Some travel across Canada and/or U.S. may be required.
KNOWLEDGE, SKILLS & TRAINING NEEDS
  • Strong verbal and written communication - Required;
  • High degree of organizational skills - Required;
  • Advanced skills in Word - Strong advantage;
  • Skills in Excel, Visio, InDesign - Advantage;
  • Experience or background with civil, structural, related technical discipline, or construction experience -Advantage; and
  • Familiarity in working remotely as required using Microsoft Teams - Advantage.
