This current opportunity is with EXO Construction Group, a division of METHOD Innovation Partners Inc. EXO is a growing Surrey, BC-based construction company offering general contracting, design-build and construction management services to the institutional sector. EXO is notably recognized for its EXO Modular Building System, meeting growth needs with rapidly built, quality, permanent buildings delivered seamlessly. The EXO Modular Building System is currently focussed on new schools and school additions in BC, with future growth leading to other sectors and expanded geographic areas.

OVERVIEW:



The Proposal Coordinator acts as the central point of accountability for proposal readiness and submission. As EXO's proposal volume grows, this role will contribute to the refinement of proposal processes, tools and content strategy. The Proposal Coordinator plays a critical role in the company by managing and producing high-quality proposals that effectively communicate the company's value proposition to prospective clients. Reporting to the Director of Sales & Marketing, the Proposal Coordinator collaborates closely with sales, marketing, construction and technical teams to gather content, develop tailored proposals, and ensure compliance with bid requirements. The role focuses on coordinating, writing, and managing the proposal process, while also maintaining a library of standardized content for future use. A strong understanding of construction terminology, contract documentation, and industry-specific processes is essential to ensure proposals align with client expectations and regulatory requirements.

RESPONSIBILITIES:



Proposal Development:

Lead the coordination, development, and submission of proposals, including RFPs, RFQs, tenders, bids, and unsolicited proposals, with a focus on construction related projects Analyze proposal requirements and ensure all content meets client specifications and evaluation criteria Compile and coordinate draft proposal content provided by senior leaders, subject matter experts and other departments Draft, edit, and proofread proposal content to ensure clarity, consistency, and compliance, incorporating construction-specific terminology where applicable Flow proposal content into InDesign (or equivalent) for clear, quality layout and presentation Collaborate with internal teams to gather project-specific information and technical input for portfolio pages Rework and adapt standard paragraphs and content to fit the unique requirements of each bid
Coordination & Communication:

Work closely with sales, marketing, construction and technical teams to develop proposal strategies and ensure alignment with company goals Coordinate and own proposal and bid schedules, set deadlines, and manage multiple projects simultaneously to meet submission timelines Communicate progress and provide updates to management and other stakeholders
Quality Assurance:

Review proposals to ensure bid readiness and compliance with submission requirements and evaluation criteria Conduct thorough quality checks to eliminate errors and inconsistencies before submission
Content Management:

Build and maintain a library of standard proposal content, including project descriptions, resumes, and boilerplate sections that align with and address the needs of the construction industry Regularly update and improve proposal content to reflect current company capabilities and best practices Ensure consistency in language, tone, and branding across all proposal submissions
Other Duties:

Support the development of marketing materials and corporate communications as required Assist in the preparation of post-submission follow-up documentation and client debriefs

REQUIREMENTS:



Minimum 2+ years of experience in proposal coordination, writing, or a related role Proven experience managing RFP, RFQ, and tender processes within the construction industry Bachelor's degree or diploma in Marketing, Communications, Business, or a related field Superlative writing, editing, and proofreading skills with a sharp eye for detail Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) Adobe Creative Suite (especially InDesign) proficiency is required Strong organizational skills with the ability to manage multiple projects and deadlines Excellent communication and interpersonal skills to work effectively with diverse teams Ability to work independently and take initiative while collaborating closely with internal teams Strong knowledge of construction terminology, contracts, and documentation High level of professionalism and ability to maintain confidentiality Occasional travel to client sites or project locations may be required

Pay: $55,000.00-$62,500.00 per year
