Position Summary



The Tax Registration Specialist is responsible for the processing and registration of documents at various stages in the Tax Registration process. They will execute the required procedures and ensure that all the requirements of the pertinent legislation and regulations are adhered to. They will interact by email and by telephone with our clients on an ongoing basis and ensure that they are always provided with an outstanding level of service. They will work both individually, and as part of a close-knit team.

Duties and Responsibilities



Under the supervision of the Operations Manager, the duties and responsibilities of the Tax Registration Specialist include, but are not limited to, the following:

Tracking status of files to ensure deadlines for various documentation are met;

Using our custom software to create the required documents;

Preparing documentation to send to clients for signature such as First and Final Notices;

Preparing and registering documents online, such as Tax Arrears Certificates, Cancellation Certificates, Tax Deeds and Notices of Vesting;

Recording work on various platforms including Excel and custom software;

Creating and sending invoices for work performed;

Occasionally assisting other departments;

Becoming thoroughly familiar with the procedures and requirements set out in Part XI of the Municipal Act;

Being familiar and knowledgeable of our procedures and software. This will include duties such as becoming familiar with

o Teraview;

o DocuSign;

o eCore

o OnLand

o our customized software;

o our fee structures and invoicing;

Working with the Realtax team;

Dealing with clients and advising them on the requirements of tax registrations;

Other



Other duties as assigned.

Minimum Requirements



Exemplary customer service skills;

Ability to work under pressure and meet tight deadlines;

Excellent eye for details;

Proof reading skills are an asset;

Strong organizational and time-management skills;

Knowledge of Word, Excel, Outlook and PowerPoint;

Superb communication skills, both written and verbal.

Key Relationships



This position interfaces with internal and external contacts:

Internal: All other Realtax Employees

External: Representatives from over 200 Municipalities

Working Conditions



Work normal business hours

Able to work on a computer for long periods of time;

Required to work in a busy office environment which may result in constant interruptions;

Required to have an excellent attention to detail and high levels of accuracy; and

Required to meet a number of deadlines which may cause stress.

Job Type: Full-time

Pay: From $50,000.00 per year
