Commercial Property Manager (5+ Years Experience)

Position Summary

The Commercial Property Manager is responsible for the day-to-day management and performance of a portfolio of commercial properties, including tenant relations, budgeting, maintenance coordination, lease administration, and ensuring the buildings operate efficiently, safely, and in compliance with all applicable standards. This role requires strong communication, financial oversight, and vendor/contractor management skills.

Key ResponsibilitiesProperty Operations & Maintenance

Oversee daily operations for assigned commercial buildings (retail/office/industrial as applicable). Coordinate maintenance, repairs, and capital improvement projects with contractors and building staff. Conduct regular property inspections and ensure issues are documented and resolved promptly. Ensure building systems (HVAC, plumbing, electrical, fire/life safety) are maintained and serviced as scheduled. Manage after-hours/emergency calls and coordinate urgent repairs.
Tenant Relations & Customer Service

Serve as the primary point of contact for tenant concerns, requests, and service issues. Ensure timely communication with tenants regarding building notices, repairs, and operational changes. Support tenant move-ins/move-outs, site access, and coordination of tenant improvements when required.
Financial Management

Prepare and manage annual operating budgets and forecasts. Track operating expenses, reconcile variances, and provide monthly reporting to ownership/management. Review and approve invoices, ensure accurate coding, and control spending against budget. Assist with CAM/TMI management, including reconciliations and tenant billing (where applicable).
Vendor & Contractor Management

Source, tender, and manage vendor contracts (janitorial, security, landscaping, HVAC, etc.). Ensure vendors meet scope, timelines, quality standards, and insurance/compliance requirements. Monitor vendor performance and maintain service schedules and contract renewals.
Lease Administration & Compliance

Interpret and administer lease terms (rent, renewals, notices, maintenance responsibilities, insurance, etc.). Ensure compliance with health & safety standards, fire code requirements, and applicable building regulations. Maintain accurate records: COIs, contracts, service logs, incident reports, permits, and tenant files.
Reporting & Administration

Prepare regular operational reports, incident summaries, and project updates. Maintain organized property documentation and ensure data accuracy in property management systems. Coordinate with leasing, accounting, and legal teams as needed.
Required Qualifications

Minimum 5 years of experience

in

commercial property management

(office/retail/industrial). Strong working knowledge of building operations, maintenance practices, and vendor management. Experience with budgeting, reporting, and expense control. Solid understanding of lease administration and tenant service expectations. Proficient in Microsoft Office (Excel, Word, Outlook); experience with property management software is an asset. Strong problem-solving, organization, and communication skills. Valid driver's license (if site visits are required).
Preferred Assets (Nice to Have)

CPM, RPA, BOMI, or similar designation (or working toward). Familiarity with CAM/TMI reconciliations and tenant billing processes. Experience managing capital projects and tenant improvement work. Knowledge of local building codes and fire/life safety compliance requirements
Work Style & Expectations

Able to manage multiple priorities and deadlines across several properties. Comfortable working with tenants, contractors, and ownership in a professional manner. Hands-on, proactive, and accountable--focused on building performance and tenant satisfaction.

Salary is based on experience.
