We are currently seeking a Property Management Assistant to join our Property Management team!
The Property Management Assistant supports the Property Manager in the daily operations of residential and commercial properties. This role involves assisting with tenant relations, property maintenance coordination, administrative duties, and financial record-keeping. The ideal candidate is organized, detail-oriented, and possesses excellent communication skills, ensuring smooth operations, gold-star tenant services, and timely resolution of property-related issues, all under the guidance of the licensed Property Manager.
Key Responsibilities:
Tenant Relations:
Act as the first point of contact for tenants, addressing inquiries, complaints, and requests in a timely manner.
Assist with tenant onboarding, including applications, lease agreement preparation and preparing for move-in/move-outs.
Maintain records of tenant communication and update contact information.
Property Maintenance
Coordinate maintenance requests by scheduling repairs and following up with vendors or contractors.
Report any damage or issues to the Property Manager.
Ensure common areas are well maintained and meet safety standards.
Review invoices in a timely manner to ensure accuracy and efficient use of spending.
Administrative Duties:
Manage phone calls, emails, and correspondence related to property management.
Maintain accurate property files and tenant records in accordance with company policies.
Assist in preparing and distributing notices, newsletters, and announcements to tenants.
Reconciling tenant accounts in Yardi and Microsoft Teams.
Financial Support:
Drafting up notices for unpaid rent for signing by the property manager.
Assist in preparing invoices for contractors or vendors and verify accuracy.
Marketing and Leasing:
Assist with property listings, showings, and advertising vacancies.
Respond to prospective tenant inquiries and schedule property viewings.
Help process rental applications, including background and credit checks.
Other Duties:
Support the Property Manager in managing multiple projects and deadlines.
Stay informed of local laws, codes, and regulations affecting property management.
Provide additional assistance as required for the smooth operation of properties.

Qualifications and Requirements:
High school diploma or GED required; an associate or bachelor's degree in business, real estate, or a related field is preferred.
1-2 years of experience in property management, real estate, or administrative support is highly desirable.
Class 5 Driver's License is required. Mileage reimbursement will be provided by the company.
Strong organizational and time management skills.
Proficiency in property management software (e.g. AppFolio, Yardi) and MS Office (Word, Excel).
Excellent communication and interpersonal skills.
Knowledge of the Real Estate rules, regulations and Act is a plus.
Ambition to get licensed in the property management in the future will be preferred.
The ideal candidate will be able to take the initiative and work independently as well as in a team environment.

Rate of Pay:
Wage: $21-$25/hour (the actual wage offered will be commensurate with education and experience).
The total compensation package includes:
Extended Health, Dental, RRSP Matching (for eligible employees).
Bonus of up to 10% of base salary, based on yearly KPI Performance.
