RESPONSIBILITIES

Customer Service:

  • Handle all inquiries, feedback, complaints or concerns professionally and politely in accordance with established company guidelines. Ensure that a high level of resident relations is maintained through regular contact and attention to resident needs.
  • Maintain an overall focus on improving the customer experience.
  • Ensure that all staff adhere to a culture of excellent customer service.
  • Develop a strong sense of community.
  • Continually refer building needs or concerns to senior staff.
Management and administration:
  • Complete maintenance repairs on time (within 24-48 hours) to ensure resident satisfaction and safety. Manage the coordination and communication of repair work using oxford\'s internal protocol.
  • Monitor the quality of work of the service providers and contractors. Oversee opening and closing the apartments for maintenance and service staff once entry is authorized.
  • Follow regular fire and life safety standards, including monthly testing and annual drills.

  • Maintain all safety ratings and controls.
  • Keep work areas/workshops clean and orderly at all times.
  • Maintain inventory management supplies and conduct regular inventories. Order supplies as needed to ensure the efficient operation of the property.
  • Maintain device inventory.
  • Become familiar with the company\'s health and safety policy.
  • Issue purchase orders in accordance with established protocols.
Maintenance:
  • Have a complete knowledge and understanding of all service systems (pumps, backup generators, HVAC, boilers, refrigerators, pools, sprinklers, etc.).
  • Have working knowledge and experience with hand and power tools to complete building repairs.
  • Perform / supervise apartment renovations or improvements, including painting and general carpentry.
  • Pre move-out inspections / scoping apartments
  • Supervising participating in Annual Insuite inspections
  • Actively participating in Health and Safety committee
  • Perform / supervise general maintenance in garages and outdoor parking lots, mechanical rooms, roofs and other common areas.
  • Perform month-end duties and responsibilities, including pre-suite inspection, and contractor scheduling and suite turnover.
  • Perform / supervise snow removal duties, including putting salt and sand.
  • Complete / supervise scrap and recycling duties on designated collection days, including the safe operation of equipment carrying machinery and maintain positive working relationships with city collectors or hired vendors.
  • Ensure effective monitoring and control of all building access including cylinder locks and electronic systems.
  • Ensure that all mechanical exits and doors are operational at all times. Close the laundry room (if applicable) , recreation rooms, lockers and other common areas during the agreed time.
  • Assist with after-hours and weekend- after- office hour coverage (typically 1 week out of 3) .
  • Assist with issuing purchase orders according to established procedures.
Cleaning:
  • Ensure that the property, grounds and suites are kept clean in accordance with company standards.
  • Performs cleaning duties according to established standards and frequencies when support staff is not on duty.
  • Ensure complete knowledge and understanding of safe handling of cleaning products and ensure that all contractors and suppliers comply with safe handling guidelines (WHIMS).
REQUIREMENTS
  • Fixed-term contract (3-4 months)
  • A passion for excellent customer service.
  • Ability to solve residents\' problems in a timely and professional manner.
  • Interpersonal skills. Excellent customer service, organization and communication skills.
  • Complete knowledge and understanding of all building maintenance systems (pumps, backup generators, boilers, refrigerators, pools, sprinklers, etc.) and experience with related repairs.
  • Ability to perform basic apartment renovations, including painting and plastering.
  • Ability to lift, push and pull heavy objects, including garbage bins, furniture and appliances.
  • Industry experience is a plus.
