The objective of Oxford Properties Group multi-residential property management is to provide a unique, industry-differentiating customer experience, through the relentless pursuit of superior customer satisfaction, innovation in marketing, leasing, staff professionalism, technology utilization, and property operations.

The primary function of the Property and Leasing Administrator is to support the leasing and administration processes for Oxford multi-residential; be the first point of contact for residents and prospects. In fulfilling this function, as a front-line employee, it is imperative that the individual provide an industry-differentiating customer experience to all they come in contact with.

A positive attitude within a learning environment is essential, and participation in company training and development workshops/seminars will be necessary for continued development.

RESPONSIBILITIES

Customer Service:

Professionally and courteously handle telephone and walk-in inquiries.

Meet and interact with residents, prospective residents, internal and external customers in a courteous and professional manner.

Ensure all phone messages and e-mails are responded to by end of each business day.

Maintain an overall focus on enhancing the customer experience.

Promote a strong sense of community, including arranging and coordinating resident events.

Administration and Reporting:

Assist with rent collection efforts, including accepting and processing rental payments, placing rent reminder calls and preparing rent reminder notices.

Assist with deposits and purchase orders and preparation of parts and material lists

Assist with record management / old files management

Assist with filing and keeping the office clean and all filing cabinets locked at the end of the day

Assist with the Administration of resident accounts and / or needs, including delivery and posting of notices.

Assist with the administration of Oxford\xe2\x80\x99s internal customer service tracking system (310-MAXX) to ensure service deliverables are met.

Participate in resident satisfaction calls.

Assist with the administration of move-ins and move outs.

Provide move-in package to new residents at time of lease signing

Assist with coordination of moving elevator reservations for move-ins and outs with the Concierge staff and residents.

Assist with completion of incoming and outgoing suite inspections and document as required. Welcome new residents and provide a full orientation when possible.

Be familiar with and adhere to the company\xe2\x80\x99s Health and Safety policy.

Wear prescribed Personal Protective Equipment (PPE) when required to do so.

Participate in special projects from time-to-time as assigned by the supervisor.

Marketing and Leasing:

Be knowledgeable about the community at large, property amenities, pricing, and availability in order to respond to leasing queries.

Conduct monthly market surveys and have a thorough understanding of competing properties and current market conditions.

Encourage appointments or viewings with all prospective resident callers.

Qualify prospective residents to determine their needs and suitability as candidates.

Conduct viewings of the property and suites with prospective residents.

Sell the property to prospective residents in order to obtain a commitment to rent. While specific property features or attributes should be highlighted, the focus should be on selling benefits.

Collect and complete all pertinent information on the Application Form and forward to the Senior Property Manager for approval; obtain the completed bank form, employment letters and certified cheques or money orders in to meet deposit requirements on all suites.

Complete background checks, order credit checks, complete and execute the signing of all leases, schedules, assignments, and addendum forms.

Personally, notify all applicants of the Senior Property Manager\xe2\x80\x99s decision (approval or decline) with respect to rental applications.

Regularly inspect upcoming suite availabilities prior to showing to potential residents.

Complete and maintain a consistent and accurate traffic report and submit to Management according to established policy and procedure.

Purchase Order administration, creation, monitor expense to budget, tracking for completion and receiving.

REQUIREMENTS

A passion for excellence in customer service delivery.

The ability to work independently with a flexible schedule that includes evenings, weekends and holidays.

Good written and oral communication skills.

Strong interpersonal skills.

Working knowledge of MS Office products: Word, Excel, PowerPoint.

Detail-oriented; problem solving \xe2\x80\x93 passion to serve, passion to ensure deliverables are met.

Self starter with high degree of initiative, creativity and flexibility.

Sales or reception experience an asset.

Post Secondary education preferred.

Be flexible with break times in order to be available to prospective residents.

Travel is required for this role
