Property and Leasing Administrator
to join our team.
Position Overview:
We are seeking an experienced and detail-driven
Property and Leasing Administrator
to support a growing Residential Management portfolio in Simcoe County. This role plays a key part in maintaining lease records, coordinating with tenants and vendors, managing rent payments, and supporting the operations and property management team.
The ideal candidate brings a strong understanding of lease administration, rent tracking, and Ontario's Residential Tenancies Act (RTA), as well as working knowledge of property management software.
Key Responsibilities:
Manage and track monthly rent deposits, post payments, and maintain accurate tenant ledgers
Prepare, update, and administer lease agreements, renewals, and notices for residential and office tenants
Track key lease data including term dates, renewal options, rent escalations, and lease expiries
Assist in rent arrears tracking, prepare tenant communications, and assist with collections
Coordinate Landlord and Tenant Board (LTB) filings, including N4 notices, eviction applications, and enforcement of tenancy matters in accordance with the Residential Tenancies Act
Liaise with tenants to address lease-related inquiries, maintenance issues, or account concerns.
Coordinate vendor services, schedule repairs to ensure timely resolution and accurate work order tracking
Assist with tenant move-ins and move-outs, ensuring all documentation and coordination are completed
Maintain digital and physical lease files, rent rolls, vacancy reports, and administrative records
Provide support to the Property Manager and Operations team to ensure smooth day-to-day operations
Utilize Property Management Software tools to manage lease tracking, maintenance logs, and reporting
Required Knowledge and Experience:
Minimum 3 years of experience in lease administration, residential property management, or similar real estate environment
Strong working knowledge of Ontario's Residential Tenancies Act (RTA) and experience with LTB processes
Proficient in managing rent collection, arrears follow-up, and maintaining detailed tenant ledgers
Hands-on experience with Property Management Software
Familiarity with commercial leasing terms is an asset
Proficient in Microsoft Office Suite
Highly organized, detail-oriented, and capable of managing multiple priorities independently
Excellent communication and interpersonal skills with a tenant-focused mindset
