Job Description

As a Property Administrator, you will be essential in managing property operations and delivering outstanding customer service. Reporting to the Property Manager, you will utilize your core skills in property management and administrative tasks to ensure smooth daily operations. Your proficiency in Yardi and Microsoft Office, combined with strong organizational and communication skills, will enable you to effectively handle data entry, filing, and customer relationship management. Responsibilities:

• Provide support for day-to-day transaction for properties within an assigned portfolio
• Entering tenant lease profile information
• Maintaining all facets of tenant records (filing, tracking and maintenance)
• Rent collection, cheque posting and account maintenance
• Setting up Lease Profiles
• Coding invoices and PO distribution
• Lease document tracking and review
• Track and approve all tenant monthly rental billings/EFT payments
• Assist with the preparation of seasonal work contracts (landscaping, snow removal, etc.)
• Assist with annual inspections (HVAC, fire, etc.)
• Assist in annual budget preparation with the property manager and assigned Property Accountant.
• Handling tenant and supplier enquiries
• Prepare necessary invoices, reports, minutes and letters
• Assists Property Manager with completion of monthly reports

Qualifications:

• 2-3 years of administrative experience
• Experience in commercial and/or residential property management
• Must provide a clean criminal record check
• Strong communication skills, both oral and written
• Ability to develop and sustain cooperative working relationships, team player
• Effective time management, able to work under pressure and meet tight deadlines
• High attention to detail; strong organizational skills
• Intermediate to advanced skills in Excel, Word, and other Microsoft Office programs
• Tenant Statement of Accounts experience would be a strong asset
• Yardi (Voyager & Breeze) experience would be considered an asset
