PROFILE SUMMARY
Wesgroup is poised for substantial growth over the next several years and in preparation for this exciting and challenging phase, we are actively seeking a highly engaged, driven and experienced Property Administrator to join our team.
In this role, you will play an integral part of the team, interacting with Property Managers, Accountants, Technicians and tenants to support the administration for our commercial properties. Reporting to the Property Manager, you will manage a variety of property management tasks, as well as manage the Online Service Centre and Hotline.
KEY ACCOUNTABILITIES
Tenant & Lease Administration
Draft and send correspondence such as operational updates and general tenant communications.
Distribute annual Common Area Maintenance (CAM) reconciliation letters and rental statements.
Maintain and update tenant records, including directories, information change forms, and insurance certificates to ensure compliance.
Assist with legal and leasing documentation as required. Financial Administration
Review accounts receivable ledgers and follow up with tenants regarding rent arrears, chargebacks, and expenses.
Track and distribute chargeback and property tax invoices.
Process deposit refunds, cheque requisitions, and Electronic Funds Transfer (EFT) updates.
Code invoices and purchase orders in Yardi for all income-producing properties. Operations & Vendor Coordination
Schedule vendors for maintenance and repairs, ensuring service quality and timeliness.
Set up new utilities (Telus, Hydro, Fortis) for new buildings and projects.
Coordinate and oversee access control and surveillance systems across properties.
Manage vendor records, including WCB certifications and Certificates of Insurance (COIs).
Team & Tenant Support
Administer the Online Service Centre and Service Centre Hotline, ensuring quick and effective responses.
Prepare meeting materials and circulate meeting minutes.
Act as backup for Property Managers, attending viewings, tenant meetings, and vendor visits as needed.
Collaborate with the Property Managers, Operations team, and Director on ad-hoc projects.
QUALIFICATIONS, KNOWLEDGE & EXPERIENCE
1-2 years of experience in a property management or administrative support role; familiarity or experience with Commercial Property Management is a definite asset.
Strong organizational, time management, and multitasking skills in fast-paced environments.
Excellent written and verbal communication skills, with a professional and approachable style.
Proficiency in Microsoft Office (Outlook, Word, Excel).
Working knowledge of Yardi Voyager and Angus Anywhere MRI is an asset.
Basic accounting knowledge (AP/AR) considered beneficial.
A positive, proactive attitude and a desire to contribute to a collaborative team environment.
EXPECTED COMPENSATION
Annual Base Salary: The expected salary range for this role is $53,000 - $58,000 per annum. Actual offered salary will depend on individual experience, qualifications, geographic location, market conditions for the role, and internal equity.
