We are hiring a Property Administrator to join our team. The successful applicant will succeed in a fast-paced, progressive career, enjoy working with people in a team environment and provide outstanding customer service. Working collaboratively with the existing team and reporting to the Team Lead, Operations & Administration, this is a full-time salary role designed to manage the customer experience and daily operations for Avana's existing residential rental property portfolios and the associated residents.

We are seeking a detail-oriented and proactive Property Administrator to join our dynamic team. This role is integral to ensuring the smooth operation of our property portfolio by managing administrative tasks, coordinating with tenants, and supporting property managers. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional organizational and communication skills.

Key Responsibilities

•Administrative Support •

• Maintain and update property records, lease agreements, and tenant information in the databases.
• Prepare and process invoices, purchase orders, and expense reports.
• Assist in preparing reports related to property performance, budgets, and divisional reports.
• Support the Director with administrative tasks including scheduling, department travel bookings, meeting minutes, etc.
• Provide coverage for reception as required.
• Other duties as assigned.

•Resident Relations •

• Serve as the primary point of contact for tenant inquiries and concerns, ensuring timely and satisfactory resolutions.
• Process all lease agreements and renewals including required documentation.
• Conduct follow-ups with tenants to confirm satisfaction with services provided.
• Coordinate Resident Surveys including sending, tracking and reporting.

•Financial Management •

• Assist with rent collection and monitor payment statuses.
• Reconcile accounts and track operating expenses for properties.
• Support the preparation of annual property budgets.

•Compliance and Documentation •

• Monthly audits of divisional databases to ensure compliance with processes and policies.
• Maintain documentation for inspections, licenses, and insurance requirements.
• Keep records of tenant correspondence and issue logs.

Skills & Qualifications

• Diploma or degree in Business Administration, Real Estate Management, or a related field.
• A minimum of two (2) years in property administration, property management, or a related role. Experience in the construction or real estate industry is an asset.
• Strong organizational and multitasking abilities.
• Excellent written and verbal communication skills.
• Proficiency in property management software (e.g., Yardi and RentCafe) is an asset.
• Proficiency in Microsoft Office 365.
• Problem-solving skills and a customer-service-oriented mindset.
• Detail-oriented with a high level of accuracy.
• Ability to work independently and collaboratively within a team.
• Flexible and adaptable to a dynamic work environment.
• Must be legally eligible to work in Canada (i.e. Permanent Resident or Canadian Citizen).

Compensation Package:

• Benefits: Dental and medical benefits package. 80% of the cost is covered by Avana. Option for the employee to purchase disability and life insurance.
• Pension: The Pension Plan will commence in your second year of employment. 2% of salary matched in year two, 3% of salary matched in year three, 4% of salary matched in year four and 5% of salary matched in year five.
• Vacation Entitlement: 20 business days per year. Must be accumulated prior to taking them.
• Annual Bonus: Opportunity to earn up to 10% of salary as an annual bonus.
• Parental Leave: Once an employee has worked a full year (12 months) at Avana, they are eligible for four (4) months of salary top-up to $15,000, with ongoing benefits based on the terms stated above. Pension matching will not apply for the duration of the period of leave. If an employee provides resignation within 24 months of the paternal leave return date, the total amount of the salary top-up will be repaid to Avana.
• Probation Period: The probation period is 90 days from the start date.
• Criminal Record Checks are required for all Avana employees prior to being hired. This will be obtained at your expense and will not be reimbursed by the Employer.
