Dream is currently looking for a motivated detail oriented Property Administrator, specifically overseeing Accounts Receivable (AR), to join a small but powerful team dedicated to our tenants and their well-being.

You love working with people so that's not a big deal for you, but over your two years of experience in Commercial Property Management you've also learned to work alone when the time comes.

Our ideal candidate can multi-task and prioritize, and has effective communication skills. You'll be working in a fast-paced environment, overseeing the account receivable duties for mix of office and retail tenants.

What will you do?

Here are some of the primary responsibilities that will fall under your role. We can chat more about these and more in person:

  • Maintain a professional working relationship with clients and Dream internal team members;
  • Establish and maintain a professional working relationship with tenants and provide excellent client service by addressing tenants' concerns in an efficient and timely manner;
  • Tenant administration: maintain the master tenant listing, emergency contact forms, and move-in / move-out documentation;
  • Ensure tenant compliance with obligations under the terms of lease;
  • Prepare monthly rent roll reconciliation and A/R updates including examining variances from previous period for review by the Property Managers;
  • Apply rent and take responsibility for monthly rent collection and collection of arrears of rent; increase and track EFT participation;
  • Manage tenant accounts: have a solid understanding of all billings and adjustments, reconcile and prepare statements of accounts, administer tenant charge backs and other charges as well as late payment notices and default letters; prepare and submit all site notices;
  • Assist with the preparation, review and timely submission of year-end reconciliations;
  • Monthly collection of tenant retail sales, reporting and insights;
  • Assist with review and preparation of annual operating budgets for 3 office properties, and complete the monthly operating variance reports for each of these 3 buildings.
  • Review monthly financial package for accuracy prior to Property Manager's review escalating potential issues;
  • Lead bi-weekly AR meetings providing updates on client AR collection and issues.
  • Participate in annual selected community involvement initiatives with your team and tenant events;
  • Other projects or responsibilities as assigned by Property Managers.
What type of experience do you have?

These are only some of the things we'd like you to bring to the table. We can cover the rest when we meet:
  • 2+ years of related experience in Commercial Property Management;
  • We would love for you to have a post-secondary education (either a university degree or college diploma) in Accounting or Property & Building Administration;
  • Completed or working towards RPA/CGA designation;
  • You've worked with a real estate management financial system
  • You have a way with numbers and are proficient with Microsoft Office, especially Excel and Word;
  • You've had interpersonal experience in dealing with customers/tenants, both verbally and in writing;
  • Previous experience in a property management role, specifically supporting the accounting team.
Bonus if you have experience in the following areas:
  • Working Knowledge of JD Edwards or YARDI with a basic understanding of accounting and lease/CAM interpretation;
  • Real estate industry experience;
  • Post-secondary education in Accounting or Property & Building Administration
