The Property Administrator / Leasing Agent plays a dual role in supporting both leasing performance and day-to-day property operations. This position is responsible for ensuring a smooth and professional tenant experience from first contact through to lease renewal, while also overseeing essential administrative and customer service functions that support building management. The role combines strong customer service, sales ability, and organizational skills to maintain occupancy targets and deliver Lepine's Customer Service Promise.
Responsibilities
Leasing (50%)
Meet or exceed leasing targets by closing leases in alignment with company goals.
Conduct property tours, respond to inquiries, and follow up with prospective tenants.
Prepare and administer leases, sublets, assignments, renewals, and terminations.
Maintain accurate records in CRM systems and ensure timely completion of leasing documentation.
Stay informed on competitor activity, market trends, and marketing campaigns; provide feedback and suggestions for improvement.
Represent the company at shows, events, and promotional activities.
Ensure all leasing activities comply with Lepine's standards, policies, and values.
Property Administration & Customer Service (50%)
Manage the complete tenant lifecycle, from move-in to move-out.
Coordinate tenant arrivals, departures, elevator/loading dock bookings, and access systems (keys, fobs, parking permits).
Maintain resident databases, contact lists, and insurance compliance records.
Collect rent payments, follow up on arrears, and support resolution of tenant issues.
Ensure the building environment promotes satisfaction, retention, and compliance with company standards.
Deliver consistent, professional communication with tenants, contractors, and internal teams.
Participate in a rotational on-call schedule to support after-hours emergencies.
Requirements
2+ years' experience in property management, leasing, or similar field.
Strong organizational, administrative, and customer service skills with attention to detail.
Proven ability to meet sales targets while maintaining excellent customer relationships.
Proficiency with CRM and property management systems
Valid driver's license and reliable transportation.
Availability for flexible hours, including evenings and weekends as required.
Clean criminal record check.
