Under the general direction of the Program Manager, the Project Support Officer (PSO) is responsible for supporting project coordination in the newly formed Marinucci Family Centre for Professional Advancement and Continuing Studies (CPACS). The PSO will contribute to streamlining processes across multiple functions to enable the successful integration of Continuing Education (CE) and Professional Advancement (CPA). The PSO will collaborate with all employees in CE and CPA to streamline registration and admission processes, assisting with project/program creation and updates, coordinating outreach efforts, maintaining accurate documentation and Standard Operating Procedures (SOPs).
The role also involves collaborating with multiple stakeholders, acting as the first line of communication to external stakeholders, preparing and analysing reports, and providing comprehensive support to partners, faculty/staff and students. This position supports the overall operations of the newly merged Centre and reports milestone tracking and project support to ensure the successful integration of CE and CPA. Flexibility in working hours and the ability to work across multiple campuses are essential to ensure the successful operation of the integration of this newly formed Centre.
What you'll be doing:
Supports the administrative functions and operations of the newly created Marinucci Family CPACS, tracking project enrolments, student registration data and reporting:
Assists with registration, admission, pre-registration procedures including planning, scheduling, and coordinating tasks, creating new tracking systems that ensures confidentiality for students participating in learning activities and streamlines/enhances current processes in the Centre.
Communicates and processes all pre-program/pre-course requirements to learners/faculty/partners as directed by Program Manager.
Generates POS, course creates CRNs for project activity each semester and tracks its progress to completion, while coordinating tasks related to course start, including cross-listing, competency tracking systems requirements and placement supervisor, faculty, staff onboarding.
Collaborate with CPA and CE teams to streamline processes related to program sequencing, project status, and project workbacks.
Propose and generate new procedures to support the successful merger of CPA and CE.
Populates the student enrolment database confirming accurate and confidential data is secured relating to all programming.
Tracks and reports on project enrolment activity for Program Manager review.
Communicates enrolment numbers to CPACS teams on an ongoing basis.
Attends steering committee, subcommittees, and community information sessions as required for quantitative and qualitative reporting.
Provide technical support and facilitate connections to College resources, including the digital technicians within the Centre.
Maintain flexibility in working hours, particularly during program start-up, and be available throughout the semester to meet with students and faculty to support the successful operation of department programs.
Communicates and ensures that College and departmental policies and procedures are followed to support students, faculty/staff, employers and funders:
First point of contact and resolution for all incoming communications (visits, emails, phone calls, etc.) from students, faculty and the general public and oversee Centre's inbox(es); escalation to Program Manager as required.
Initiates correspondence to internal departments (e.g. Student Support Services, Business Solutions, Registrar's Office, Payroll, satellite campuses, student records, scheduling, Administrative Coordinator) related to student/course information, grade changes, student withdrawals, classroom locations.
Arranges class schedules based on community, partner, faculty and Program Manager consultation.
Ensures all faculty have access to CRN's, external stakeholder contact information and student information.
Assists with orientation of faculty assigned to project-related course delivery.
Liaises with faculty, student and community partners on issues that arise due to course/class delays or cancellation.
Oversees withdrawals of unsuccessful students from course activity.
Communicates with community partners, sponsoring organizations, and internal college program areas regarding course start and end dates, times and location for project activity.
Solves problems arising from registration issues relating to information gaps, MyCanvas access, grading and graduation requirements.
Creates/tracks grade reports for students and summarizes program progress on a regular basis for the Program Manager.
Contributes knowledge and skills to the effective and successful administration of the newly merged Marinucci Family CPACS:
Assess existing workflows and implement improvements for the CPA/CE merger.
Update workflows and procedures to ensure long-term success.
Coordinate meetings, including preparing agendas, taking minutes, and arranging logistics, and recommend improvements to the new Centre.
Conduct regular assessments and evaluations of processes and workflows.
Implement changes based on findings to improve efficiency and effectiveness.
Evaluate the impact of the merger and develop strategies for continuous improvement.
Administer surveys to instructors, colleagues, and learners.
Summarize and analyze survey data, preparing regular reports.
Track all reporting, including survey results, partner reports, and impact reports.
Assess, support and create reporting methods and develop improved processes for the merger.
Adapts, maintains records and recommends procedures for audit purposes related to project activity.
Takes on special projects as assigned by the Manager.
Supports and coordinates initiatives in data analytics, proposals and events
Update project status databases, maintain filing systems, and prepare data for the leadership team related to program delivery.
Evaluate data management practices and propose enhancements for the merger.
Assist in preparing, submitting, and managing new project proposals.
Gather data and generate reports on activities, new initiatives, proposals, reviews, and submissions.
Analyze project proposal processes and implement improvements for the merger.
Assist in preparing, submitting, and managing new project proposals.
Gather data and generate reports on activities, new initiatives, proposals, reviews, and submission and propose improvements to support the new Marinucci Family CPACS.
Assist in coordinating internal and external events.
Coordinate and on- and off-campus evaluate events and their strategies and recommend enhancements for the merger.
What you'll bring to the role:
A minimum of three-year post-secondary education in Business/Office Administration, Computer Studies or related field; or equivalent combination of education and experience.
Advanced working knowledge of Microsoft office products is essential, including Word, Excel, PowerPoint. Familiarity with Mohawk College programs is desirable; including, MyCanvas, MyMohawk mail and groups, Fast Suite, Banner, SUMMIT, ePAFs, COGNOS.
Three years of practical and related experience in an educational environment where there is a strong emphasis on interpersonal skill and customer service, preferably a post-secondary setting.
Working with databases and student information systems, preferably with Banner, or any relational database in a post-secondary education.
Working in an office environment with demonstrated problem solving skills.
Working in a time sensitive deadline driven environment with an elevated attention to detail.
Working independently and in a team environment.
Working in a role with diverse responsibilities and knowledge base.
Project management skills that include organizing, multi-tasking, prioritizing and meeting deadlines.
