ROLE
The Project Subcontracts Administrator is responsible for administering subcontracts for pipeline construction at the Eagle Mountain - Woodfibre Gas Pipeline (EGP) Project in Squamish, BC. This position is primarily responsible for the daily review and entry of field tickets and LEMs submitted by subcontractors into the ERP system. As familiarity with project processes is gained, the role will also support the review and processing of subcontractors' invoices. Strong administrative skills are required to ensure timely and accurate subcontract administration.
KEY RESPONSIBILITIES

  • Ensure subcontractors submit daily field tickets and priced LEMs (Labour, Equipment, and Materials) in accordance with subcontract requirements.
  • Review daily field tickets and LEMs for accuracy, completeness, and compliance with subcontract terms and conditions.
  • Enter approved subcontractor LEMs accurately and timely into the ERP system.
  • Track receipt and status of field tickets and LEMs and follow up with subcontractors on missing or incomplete documentation.
  • Maintain organized and up-to-date subcontract administration records, including field tickets, LEMs, and supporting documentation.
  • After gaining familiarity with project processes, assist with the review and processing of subcontractor invoices in accordance with established procedures and approval authorities.
  • Assist with general subcontract administration activities as assigned.
Note: In addition to these duties personnel are required to carry out such other duties as may be reasonably required in order to support the objectives of the company.
POSITION REQUIREMENTS
Qualifications
  • Post-secondary education or certificate in supply chain, estimating, or related field. Prior experience in a similar role may be acceptable in lieu of these qualification requirements.
Experience
  • Experience in pipeline construction and or subcontractor involvement would be an asset.
  • 1 - 3 years' experience in contract administration, supply chain, purchasing or estimating.
  • 1 - 3 years' experience in contracts administration.
Skills and Knowledge
  • Strong attention to detail.
  • Understanding of construction contracts and subcontracts.
  • Ability to be proactive and look toward future project needs.
  • Ability to administer subcontracts throughout the project.
  • Ability to manage multiple contracts and ensure that conditions are met.
  • Proficiency in Microsoft Excel.
  • Proficiency in PowerApps or other ERP systems.
WORKING CONDITIONS
This position is site based in the Squamish project offices. The working hours are 6:00 am to 6:00 pm, Monday through to Saturday with scheduled project shutdowns for long weekends. Occasional visits to other sites or SMJV offices maybe required throughout the duration of the project.
REPORTING RELATIONSHIPS
The Project Subcontracts Administrator reports to the Project Subcontracts Manager.
EXPECTED COMPENSATION RANGE
$28.00 - $34.00 per hour
