Project Manager

Toronto, ON, CA, Canada

Job Description

Mawg Design is a multidisciplinary creative agency that transforms ideas into extraordinary experiences. We specialize in experiential marketing, branded environments, and activations of all levels, blending design, strategy, and craftsmanship to create memorable moments that connect brands with audiences in authentic, meaningful ways.

From concept and design development to fabrication, logistics, and installation, we handle every stage of the process with precision and creativity. Our projects range from retail pop-ups and national campaigns to immersive exhibits and architectural builds.

Our team is made up of designers, project managers, fabricators, and installers who thrive where creativity meets execution. We collaborate closely across departments, challenge convention, and take pride in building work that not only looks incredible but is delivered with excellence and care.

The Role

We're searching for a dynamic, hands-on Project Manager who thrives in a creative agency environment. This role is ideal for someone who's equal parts communicator, strategist, and operator -- someone who can manage multiple moving parts while keeping teams aligned and clients confident.

As a Project Manager at Mawg, you'll oversee projects from concept to completion -- managing timelines, budgets, logistics, and communication across all departments. You'll coordinate between clients, designers, production, and installers, ensuring each project is delivered on time, on budget, and to the highest creative and technical standards.

If you're energized by collaboration, thrive in organized chaos, and love bringing bold ideas to life, this is the place for you.

Key ResponsibilitiesProject Leadership

Lead multiple projects simultaneously from kickoff through final installation. Translate creative briefs and client goals into actionable, organized plans. Build and manage detailed project schedules, task breakdowns, and production timelines. Anticipate challenges, manage risks, and implement solutions efficiently. Conduct internal and client-facing meetings to ensure alignment, accountability, and transparency.
Client & Vendor Management

Act as the main point of contact for clients, maintaining trust through proactive communication and professionalism. Manage client expectations, approvals, and changes throughout all project stages. Build and sustain strong vendor and supplier relationships to ensure seamless production and delivery. Coordinate with customs brokers, shipping providers, and logistics partners as needed for national and international deliveries.
Budgeting & Resource Coordination

Develop and manage project budgets, estimates, and cost tracking. Oversee purchase orders, material procurement, and vendor quotes to maintain financial accuracy. Collaborate with Finance and Operations on invoicing, forecasting, and profitability tracking. Monitor workloads and allocate resources to balance capacity and quality across teams.
Team Collaboration & Creative Execution

Collaborate closely with designers, fabricators, production staff, and installers to translate creative vision into reality. Review design drawings, samples, and prototypes with both creative and production leads before sign-off. Manage day-to-day coordination across departments to ensure clear communication, accurate specifications, and timely handoffs. Participate in on-site builds and installations, working directly with crew leads and installers to resolve issues in real time. Uphold Mawg's standards of craftsmanship, quality, and safety at every stage of the project lifecycle.
Quality Assurance, Safety & Reporting

Oversee fabrication and installation phases to maintain creative integrity and technical precision. Ensure compliance with Ontario's Occupational Health & Safety Act (OHSA) and internal safety protocols. Maintain thorough project documentation, including change logs, sign-offs, and lessons learned. Conduct post-project reviews to capture improvements and celebrate team successes.
Qualifications & Experience

5-8+ years of project management experience in a creative, experiential, or marketing agency environment. Strong understanding of fabrication, production, and event logistics. Exceptional organizational, communication, and leadership skills. Proven success managing multiple high-stakes projects with competing deadlines. Financial literacy, with experience managing budgets, POs, and reconciliations. Proficiency with project management tools (Monday.com, Asana, or Smartsheet).
Who You Are

You're a natural multitasker and communicator who thrives on structure, follow-through, and collaboration. You can balance creative ambition with operational practicality, and you take pride in executing projects that inspire both clients and teams.

You'll thrive at Mawg if you:

Love managing complex, fast-paced creative projects from start to finish. Stay calm under pressure and lead with clarity and confidence. Are proactive, resourceful, and organized.
