Job Description

General Role:

  • "Owner" of project, with overall responsibility for entire project - quality, schedule and profitability.
  • "Front Man" between Milltech and the Client - all interaction with client for duration of project.
  • Project Definition: scope inclusions and exclusions, deliverable listing, production planning (batching), material requirements, submittals.
  • Coordinate Project Schedule from start to finish.
  • Delegates and follows up on progress of support staff.
Specific Responsibilities - In Approximate Chronological Order:
Some tasks shown with an asterisk (*) may be delegated to the Project Coordinator (PC).
  • *Obtain client/architectural drawings, signed contract, Scope of Work (deliverable listing, dates) and Bill of Materials (or shopping list) from estimator.
  • Determine any project phasing and ensure this is reflected in scheduling and work order batching.
  • Arrange and provide an insurance certificate to the general contractor, if required.
  • Hold a Project Kickoff meeting with Project Team members for projects greater than $5,000 to review scope, schedule, obtain input & ensure comprehension of details, to allocate roles, obtain scheduling commitments, and advise if shop drawings were promised or required by client.
  • Generate work orders in Trakware.
  • Ensure any samples are delivered by required date and follow up with appropriate persons.
  • Meet with Engineering and Manufacturing *Check if required materials are in stock and if not, and long lead times are required; create a purchase order for materials in Trakware.
  • Perform material optimization, if required, for materials not in stock, OR provide list and sizes of materials for optimization by others in Cut Rite.
  • Give client/architectural drawings to Lead Engineer, with your notes.
  • Review client/architectural drawings with Lead Engineer for comprehension and determine if shop drawings are required.
  • Take site dimensions and ensure accuracy, if required. Incorporate site measurements and existing site conditions on drawings, by printing all dimensions on shop drawings and fax them to Engineering in Edmonton to be incorporated in drawings
  • Review drawings produced by Engineering for suitability and sign-off.
  • Obtain Client approval of drawings and return approved drawings to Lead Engineer.
  • Get any change order(s) priced, communicate with customer & team members, document requests, and update Trakware.
  • Issue or review (From PC) and sign all external communications; forward replies to PC or directly to those who need to know.
  • Maintain paper documents within the project file or binder, and all store electronic documents within the project folder on the LAN.
  • Maintain the central project file including project summary sheet, revenue forecast, contract, change orders and invoices. Remote office PM's should forward this info. to PC for filing.
  • Installation Set-Up - Ensure installation roles are clear by communicating with the General Contractor, Architect, Project Manager and Milltech lead hand on site.
  • Take digital photos of completed project and submit, with project description to General Manager.
  • Coordinate actions to resolve any deficiencies, conduct root cause analysis and forward a copy to Customer Service Manager for process improvement.
  • Arrange for maintenance manual and/or warranty to be provided, if required.
If the Project spans 2 or more months, create and provide an invoice to Accounting for all product estimated to be on site at the end of the month; otherwise prepare and submit one invoice to Accounting.
  • If Accounting advise you that full payment has not been received on time, phone client to determine problem and action, and record conversation and result.
  • On request form Accounting, review invoices from sub-contractors for accuracy.
  • Conduct post-mortem project evaluation with team.
Ongoing Project Management Throughout Project:
Monitor progress of project team members (Purchasing, Manufacturing, Engineering, Installation, Accounting) against cost, quality & schedule targets and initiate corrective action if required. Ensure proper communication/comprehension amongst project team.
  • Advice team and client of any changes to the project e.g. schedule.
  • Pass on any new project information immediately to the PC via email or phone (if email is not convenient - e.g. at the job site).
  • After confirming the PC does not have the info or did not request it previously, complete an RFI and inform the PC of the RFI and who it is going to. RFI's can be sent via Fax, mail or e-mail. (If using a fax for an RFI, copy the same RFI request into an e-mail and send to PC).
  • Document immediately by e-mail any answers to questions and forward to the PC.
