Unit/Project Description:

The Ontario Regional Project Manager and ON-TRACK Program Coordinator will be responsible for coordinating and delivering the Ontario component of the ON-TRACK clinical trials capacity-building program. This includes planning, implementation, budgeting, monitoring, and evaluation of program activities across academic, clinical, and community sites. The incumbent will support governance and operational functions of the ON-TRACK initiative and liaise with national partners as part of the Canadian HIV Trials Network (CTN+) regional training strategy.

Job Summary:

Responsible for conducting reviews and analyses to inform strategic and operational decisions. Initiates and develops project proposals, leads new project coordination, implementation, and evaluation, and communicates regularly with Principal Investigators and community stakeholders.

Purpose and Key Functions:



Develop presentations and present information and training sessions to project personnel and project participants. Develop and coordinate the implementation and evaluation of projects and other initiatives aligned with the strategic priorities of the department. Apply specialized knowledge and scientific principles to review, critically appraise and interpret published literature. Write sections of scientific papers, funding proposals and abstracts. Advise senior staff on matters of strategic and operational importance to the mandate of the projects. Develop and coordinate the implementation and evaluation of projects and other initiatives aligned with the strategic priorities of the department. Lead analyses of and make recommendations regarding a broad range of issues including business practices in the delivery of research services. Interview customers and stakeholders to obtain information that can be used to customize services to meet and support a variety of needs. Manage relationships with stakeholders by acting as the first point of contact for inquiries, requests and concerns. Apply specialized knowledge and scientific principles to review, critically appraise and interpret published literature. Write sections of scientific papers, funding proposals and abstracts Advise senior staff on matters of strategic and operational importance to the mandate of the projects. Lead analyses of and make recommendations regarding a broad range of issues including business practices in the delivery of research services. Manage relationships with stakeholders by acting as the first point of contact for inquiries, requests and concerns. Write a variety of documents including business plans, project scope documents, grant applications, and reports. Ensure relevant reporting requirements are met and writes reports for submission. Create and recommend new and revised policies, procedures and business practices to address current and anticipated issues to improve efficiency and effectiveness. Initiate and complete related research to prepare background documents, marketing materials and strategic recommendations for projects. Facilitate meetings to inform strategy development and support project implementation. Prepare and deliver presentations to clients and stakeholders. Prepare budgets, analyze financial information and forecast revenues. Keep project participants informed of project progress through regular reports and newsletters. Participate in recruitment activities including interviewing research analytic and other research staff Coordinate the grant intake system for researchers by facilitating the development of their application and reviewing internal documents for financial feasibility and alignment within standards. Create grant application, review budget, assess feasibility, review for privacy, risk, and compliance, write supporting letter, and attain appropriate approvals. Contribute to the creation, support, and delivery of privacy resources and information, including education, awareness, and training in support of privacy and legal standards. Share perspective from sites when reviewing and/or discussing Standard Operating Procedures with regards to privacy, risk, and compliance. Meet with stakeholders and mobilize knowledge to researchers and analytic staff. Advise on and contribute to the review of strategic priorities and make recommendations regarding a broad range of issues including business practices to improve customer service and ensure alignment with the departmental strategic priorities Perform initial project feasibility assessments by reviewing proposals for budget, use of ICES data, and analytic capacity. Liaise with Lead Local Analyst as needed. Serve as a Facility Administrator who represents and lobbies for the department on various committees.

Supervision:



Provide lead hand supervision and is responsible for the quality and quantity of work of others.

Qualifications:



Master's degree in business administration, Health Sciences or related field. Experience in quantatitive discipline such as biostatistics or epidemiology is strongly recommended. Requires 4 years of relevant experience.

Assets:



Experience working with marginalized communities, mentorship programs, or clinical trials is highly desirable.

Communication: Excellent interpersonal, verbal, and written communication skills, including experience with professional correspondence, reporting, and community engagement. Budgeting & Administration: Competence in developing and maintaining budgets, tracking expenses, and overseeing honoraria or scholarship disbursements. Equity-Oriented Practice: Demonstrated understanding of and commitment to equity, diversity, and inclusion, including experience with SGBA+, Indigenous research practices, or inclusive recruitment practices. Technical Proficiency: Strong computer skills, including Microsoft Office Suite, Zoom/Teams, learning management systems, and shared cloud-based workspaces.
