We are seeking a

Project Estimating Administrator (Hybrid Role)



Reporting to the Estimating Manager, the Project Estimating Administrator will be responsible for clerical and administrative support for the Estimating department.

Responsibilities:

Research and track future bid opportunities through acceptable resources; ordering plans and specifications when appropriate; review specifications for applicable contract information and create job folders and enter to Sales Force and Vantage Prepare bid information and tender forms to be submitted including bonding companies; coordinate receipt of bid bonds. Collaborating with the Chief Estimator assign projects to the Estimating team for completion Review and update tenders including request addendums, revised drawings, amended project timelines, deleted projects, hardware listings, contractor contact information etc., submit to estimators, bonding and insurance companies Act as a point of contact for architects, construction contractors, customers, Estimating department and Business Development Team effectively communicating changes, cancellations, answering queries and other information; maintain contractor and sub-contractor information Close jobs in the system, review 'no-bidder' lists, ensure all information goes to general contractors, prepare and submit post-bid documentation Manages all estimating related document control, in systems and on network Perform the project start on contract work, address clarifications for break outs when needed Observe and adhere to all safety policies and identify and report unsafe work practices or conditions Provide an exceptional level of customer service to internal and external stakeholders
Qualifications:

Education and/or Experience



High School Diploma or equivalent.

At least 2 years or more related experience

Practical/Technical Skills



Attention to details

Proven understanding of project work and industry requirements

Demonstrated skill in effectively handling and prioritizing workloads, showcasing strong organizational abilities.

Computer Skills



To perform this job successfully, an individual should have knowledge of:

Computer software including Microsoft Office

SalesForce

ERP systems

Other Qualifications



Outgoing personality, highly organized.

Professional appearance and presentation.

Good time management, communication, decision-making and organizational skills.

Eye for detail and ability to work with tight tolerances

Certificates, Licenses, Registrations



Door and Hardware Institute (DHI) Certificate can be an asset

Architectural Hardware Consultants (AHC) Certificate can be an asset

Experience using Vantage and Salesforce, or proven ability to learn new software applications Detail oriented, good time management skills Intermediate Word, Excel and Outlook skills Able to meet time deadlines, exceptional organizational skills Experience in a similar position would be desirable
