Role Overview
We are seeking a detail-oriented and proactive
Project Coordinator
to support our expanding operations. This role requires strong organizational skills, the ability to interpret mechanical drawings, assist with estimating, and coordinate directly with clients, vendors, and field teams to ensure project success.
Key Responsibilities
Support project managers in day-to-day coordination of high-rise mechanical and plumbing projects.
Prepare and maintain project documentation: proposals, schedules, budgets, meeting minutes, and progress reports.
Manage communications and scheduling through Zoho Mail and Housecall Pro.
Use Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) for reporting, tracking, and documentation.
Track material orders, vendor quotes, subcontractor schedules, and site activities.
Coordinate logistics for major equipment such as boilers, chillers, cooling towers, rooftop units, and hydronic riser systems.
Interpret mechanical drawings and specifications to support estimating and project planning.
Assist in preparing cost estimates and proposal submissions.
Provide excellent customer service, ensuring professional communication and issue resolution.
Liaise with property managers, engineers, contractors, and internal field teams.
Maintain project records for compliance, safety, and quality assurance.
Assist in scheduling inspections, site visits, equipment rigging/hoisting, and deliveries.
Monitor risks, issues, and delays; escalate as required.
Qualifications
Diploma/Degree in Construction Management, Mechanical Engineering, or related field (or equivalent experience).
2+ years of experience in project coordination, ideally involving high-rise mechanical and plumbing projects.
Ability to read and understand mechanical drawings and specifications.
Experience preparing estimates and cost breakdowns for mechanical and plumbing projects.
Proficiency in Zoho Mail, Housecall Pro, and Microsoft Office Suite.
Strong customer service and communication skills.
Knowledge of mechanical systems such as boilers, chillers, rooftop units, cooling towers, and hydronic risers.
Strong organizational skills with the ability to manage multiple projects simultaneously.
Valid driver's license (site travel may be required).

$25 - $30 per hour
