Overview


We are seeking a detail-oriented and organized Project Coordinator/Administrator to join our dynamic team. The ideal candidate will play a crucial role in supporting project management efforts within the construction industry.

Duties



Admin & Setup

Set up company email, phone system, shared drive. ? Create and maintain contact list of trades, suppliers, and clients. ? Prepare standard templates: quotes, POs, change orders, project updates.
Trade Communication

Introduce self to main trade partners ? Learn process for documenting trade availability and site updates. ? Keep a "Trades Tracker" (contact, scope, next availability, notes). ? Proactively check in with trades ahead of schedule. ? Manage a "look-ahead" schedule to flag conflicts. ? Provide you daily highlights of site/trade needs.
Ordering Support

? Get familiar with suppliers ? Assist you in creating simple purchase order templates. ? Place basic orders (consumables, small site supplies) ? Place most orders independently with minimal oversight. ? Handle follow-ups on back-ordered items and substitutions. ? Keep cost log updated for budget tracking.
Client & Marketing

? Answer phones/emails, forward important matters. ? Prepare weekly project status drafts for you to review. ? Create "client update packages" (weekly summary with schedule & photos). ? Keep warranty & completion documentation ready. ? Maintain project dashboards for you to quickly review. ? Develop simple case study/project sheets. ? Post one highlight project monthly with captions/testimonials.
Daily/Weekly Core Tasks

Daily

? Answer emails/calls (clients + trades). ? Confirm deliveries/orders. ? Send/receive trade updates. ? Keep job notes organized.
Weekly

? Update project schedules and send trade reminders. ? Prepare draft client updates. ? Reconcile invoices/orders. ? Post on social media. Assist in the preparation and management of project documentation, including blueprints and schematics. Utilize software such as ProCore, Bluebeam, and Primavera P6 for project tracking and reporting. Support construction estimating processes by gathering necessary data and preparing estimates. Collaborate with project managers to ensure all aspects of the project are on schedule and within budget. Maintain organized records of project activities, changes, and communications. Coordinate meetings and prepare agendas, minutes, and follow-up actions. Monitor project progress and provide regular updates to stakeholders. Help manage subcontractor relationships and ensure compliance with contractual obligations.
