As an integral member of the Campus Development team, the Project Coordinator, Capital coordinates capital project activities under the direction of the Director, Campus Development. The principal responsibilities include coordinating capital project planning activities (including MOH requirements); performing administrative responsibilities to ensure the efficient and effective project execution in alignment with schedule and budget; performing other duties consistent with the job classification as assigned/requested.
Duties
Supports Director, Campus Development and other team members with day to day activities and tasks
Develop and use standard tools and processes established in the organization such as Microsoft Office templates and the use of eBuilder Project Management software
Preparation, maintenance, sourcing and filing of project documentation including proposals, Ministry of Health submissions, project plans, budgets, meeting agendas, documents and decks
Maintains electronic project file database
Assists with the preparation and submission of required documentation related to purchase orders, procurement, contracts and invoices.
Assist in monitoring the progress and quality of work being performed by consultants, contractors and supplier/vendors for the purpose of coordinating project timelines and deliverables
Attends meetings for minute taking
Assists in preparation of regular project progress reports and project budget activity
Assists with data collection, data entry, document retrieval
Coordinates information requests with internal departments, external contractors/suppliers and other stakeholders, as required
Communicates any risks or issues to Director, Campus Development
Qualifications:
At a minimum, completion of a 3-year community college program in Architecture, Engineering, Construction, Interior Design or equivalent experience required.
1 to 3 years related practical experience.
Progression towards a Project Management Professional (PMP) certification is an asset.
Experience in working in a healthcare environment, medical imaging or treatment equipment, major institutional or public sector is an asset.
Knowledge in building technical codes and standards applicable to acute health care environments is an asset.
Knowledge of broader public sector procurement directives and supply chain guidelines is an asset.
Experience with furniture and equipment planning and procurement is required.
Experience with decanting and relocation of personnel, furniture and equipment required.
Very strong verbal and written communication skills, to both internal and external stakeholders required.
Strong experience in coordination of multi-stakeholder meetings, including preparation of presentation materials, meeting minutes and meeting agendas.
