Position Summary
The Project Coordinator will play a central role in supporting the project teams by coordinating project activities, tracking deliverables, and ensuring all project documentation and communications are meticulously managed. Key Responsibilities
Project Tracking and Coordination
The Project Coordinator will:
- Maintain and update project tracking systems (including Notion, CRM and Harvest) to ensure all project milestones, deliverables, and deadlines are accurately logged and monitored.
- Track project financials, purchase orders, and contract deliverables, ensuring all documentation is current and accessible.
- Support the project management team in scheduling, task assignment, and follow-up to ensure on-time completion of action items.
- Coordinate the flow of information between engineers, clients, and external vendors, ensuring clarity and timeliness in all communications.
Attention to Detail
The Project Coordinator is expected to:
- Review and process project-related documents, including invoices, material orders, and timesheets, with a high degree of accuracy.
- Ensure all project files, correspondence, and records are meticulously organized and up to date, both digitally (via Dropbox, CRM, Notion, Harvest, and SAP Ariba) and physically as required.
- Monitor and verify project data for completeness and consistency, flagging discrepancies and proactively seeking clarification when needed.
Administrative and Support Functions
Additional responsibilities include:
- Assisting with project kickoff and closeout procedures, including creation and maintenance of project records and checklists.
- Supporting the preparation and submission of proposals, reports, and client communications.
- Managing project-related email correspondence and ensuring timely responses to internal and external stakeholders.
- Entering and tracking invoices, time & materials reports, and expense records for accurate financial monitoring.
Communication and Team Support
The Project Coordinator will:
- Participate in regular project meetings, document action items, and follow up on outstanding tasks.
- Serve as a point of contact for project administrative queries from clients and team members.
- Support the engineering team by anticipating needs, managing logistics, and maintaining a proactive approach to project support.
Required Skills and Qualifications
- Demonstrated experience in project coordination, preferably in an engineering or technical consulting environment.
- Exceptional organizational skills and proven ability to manage multiple tasks with a high degree of accuracy.
- Strong attention to detail, with a track record of maintaining precise records and documentation.
- Proficiency in project management and tracking tools (e.g., Notion, Harvest or similar platforms).
- Excellent written and verbal communication skills.
- Ability to work collaboratively in a small team, adapting to shifting priorities and supporting colleagues as needed.
Preferred Qualifications
- Experience in engineering, consulting, or technical project environments.
- Familiarity with procurement, invoicing, and project finance tracking processes.
- Advanced skills in digital organization and workflow management.
Reporting Structure
The Project Coordinator will report directly to the company principal and will work closely with all engineering staff.
Work Environment
This role is based in a small, close-knit office environment, with a hybrid work from home environment with occasional site visits depending on project needs. The position requires a proactive, self-motivated individual who is comfortable taking ownership of administrative and coordination tasks to support the technical team.
Work Hours and Flexibility
This position is expected to be full-time at 40 hours per week. However, candidates seeking a reduced schedule of 32 hours per week are also encouraged to apply and will be considered. The company values flexibility and is open to accommodating qualified applicants who may require a slightly reduced workload, as long as project coordination and tracking responsibilities can be reliably fulfilled.
