Job Summary


We are looking for a

Project Coordinator

for our Vancouver location to provide the highest level of customer service and logistic support. Project Coordinators are the internal champions, coordinating all the pertinent details to ensure a successful installation of an order. They must excel at multitasking, be highly organized, and act as a support to team members by keeping lines of communication open and clear. The role requires someone who is dynamic, can reprioritize when necessary, and thrives in a system-oriented environment. This support role is crucial for the success of orders and end-user satisfaction. Strong communication skills are essential.

Primary Duties and Responsibilities:



Order Maintenance

- Placing and tracking orders

- Check acknowledgments

- Updating internal systems to ensure the most accurate information

- Confirm logistical charges (e.g., storage fees, low height truck charges)

- Place any required change orders and check corresponding revised acknowledgments

- Keep sales/PMs current on ESDs, project timing, and additional vendor costs incurred

Scheduling

- Submit truck schedules to manufacturers

- track shipments to ensure projects are on track

- Confirm receipt of product with warehouse

- Send install bookings with all necessary documentation to installers

After Sales Functions - Invoicing

- Invoice clients (ensure all paperwork matches), complete pre-invoice checklist and pass to accounting

- Receive and process any warranty-related claims directly with manufacturers

Knowledge and Skills Requirements

- Excellent customer service and interpersonal skills

- Strong knowledge of the Microsoft Office suite, including SharePoint and Microsoft Teams

- Good verbal and written communication skills

- Excellent team player, coordinating with all applicable team members

- Ability to work with mathematical concepts

- Ability to prioritize and manage multiple tasks

- Experience using Core, Jotform, or Spec is considered an asset

Experience

- Prior experience in the office furniture industry is preferred, but not required

- Experience in customer service and coordination is required

Education

- College or University graduates with a business degree/diploma would be well suited for this position

Working from our Vancouver office Monday through Friday, you'll receive a competitive starting salary at $55,000. You'll also have access to a benefits program, as well as paid vacation.
