O'Callahan Holdings Limited is seeking a highly organized and detail-oriented
Project Coordinator
to support projects from initiation to completion. In this pivotal role, you will act as the key liaison between management, internal teams, and external stakeholders, ensuring clear communication, efficient coordination, and smooth workflow throughout the entire project lifecycle. This position offers excellent growth opportunities toward project management roles within our organization. Experience in hospitality, development, or construction industries considered an asset.
We are seeking an individual with exceptional organizational and multitasking abilities; a keen attention to detail; ability to work independently and collaboratively in a team environment; a proven ability to manage multiple projects simultaneously while meeting deadlines.
Key Responsibilities
Assist with developing and maintaining project schedules, timelines, and work plans
Organize and facilitate project meetings, record minutes, and track action items including milestones and deadlines
Coordinate internal and external resources, ensuring projects remain within scope, schedule, and budget
Monitor project risks and outcomes, escalating issues according to project work plan
Develop and maintain project performance database that tracks overall progress and achievement of milestones
Maintain comprehensive project documentation, plans, and correspondence
Track budgets, expenses, purchase orders, and invoices for approval
Utilize AI tools and techniques to streamline project management processes
Required Qualifications & Skills
Minimum 5 years' experience in administrative, project support, or coordination roles. Education in business administration, project management, organizational leadership, or related field preferred. Proficiency with MS Office Suite, cloud-based project management software including AI-powered project management tools with focus on automation.
