The Opportunity
The
Project Coordinator
supports the planning, execution, and successful delivery of construction projects across DNM's Building & Construction Division. Reporting directly to the Project Manager,
Project Manager, this position is responsible for coordinating project schedules, documentation, communications, and field logistics to ensure projects are executed on time, within scope, and on budget
.

This position plays a pivotal role in driving and helping shape DNM's reputation for excellence across every project we deliver.
Key Responsibilities
Project Coordination & Support
Assist Project Managers with day-to-day project planning, execution, and close-out activities.
Develop and maintain project schedules, timelines, and task trackers to ensure milestones are achieved.
Coordinate workflows across multiple trades and subcontractors, ensuring all required resources are available and project needs are met.
Track project deliverables, monitor progress, and escalate issues or delays to the Project Manager.
Support procurement processes, including requesting scheduled material and equipment ordering, follow up and track deliveries, and assist with the coordination and scheduling of contractors, sub-contractors and sub-trades.
Manage project documentation including contracts, change orders, permits, and coordination of trades and sub-trades schedule availability with the estimating department, maintain project meeting minutes and represent the Project Manager in his/her absence.
Communication & Stakeholder Coordination
Act as a primary point of contact for communication between internal departments, contractors, subcontractors, and and vendors.
Participate in project meetings under the guidance of the Project Manager, document discussions and decisions, and track progress on assigned action items.
Site Coordination & Field Support
Coordinating for the field teams any inspections, testing, and site-related logistics.
Address on-site issues in collaboration with the Project Manager and field supervisors
Quality, Compliance & Documentation
Maintain accurate project records, including daily logs, inspection reports, schedules, and correspondence.
Support quality control by monitoring work progress and documenting deviations for review by the Project Manager.
Assist with close-out documentation, warranties, manuals, and client handover packages.
Contract Administration & Billing
Prepare and submit progress claims and invoices in alignment with project schedules and contract terms, with inputs from Field Supervisors for review of Project Manager.
Prepare project reviews for Project Manager comparing estimates to actual project costs and margins.
Track and document all change orders, ensuring they are properly authorized and reflected in billing.
Maintain lien holdback compliance and ensure all statutory requirements are met prior to payment release.
Track hold-back releases in collaboration with finance department for follow up by Project Manager to get funds released.
Track bonding requirement releases in collaboration with the finance department.
Coordinate with Project Managers, Finance, and clients to ensure timely and accurate submission of invoices and claims.
Maintain detailed records of claims, payments, and supporting documentation for audit and reconciliation purposes.
Risk & Issue Management
Identify and document potential risks or issues and escalate them promptly to relevant Project Manager and/or internal departments.
Support mitigation planning by coordinating with internal teams and subcontractors to resolve challenges.
Participate in post-project reviews and lessons-learned discussions to improve future project performance.
What You Bring
Post-secondary education in Business Administration, Construction Management, Project Management, Engineering, or a related field (preferred).
2+ years of experience in project coordination, administration, or a related role within the construction, mechanical, or contracting industries.
Proficiency with project management software (e.g., Procore, MS Project, BuilderTrend) and Microsoft Office Suite.
Ability to read and interpret blueprints, drawings, and technical specifications.
Knowledge of relevant building codes, safety standards, and construction practices.
Valid Ontario G-Class Driver's License and clean driver's abstract.
Working at Heights, WHMIS, and First Aid certifications required.
