Job Summary:
The Project Coordinator is an integral member of the project team responsible for supporting the delivery of Tron construction projects of varying size and complexity. The Project Coordinator is responsible for liaising, organizing and assisting in the coordination of project activities.
Scope of Responsibilities:
Project Controls & Documentation
Track, verify, and submit daily LEMs (Labour, Equipment & Materials) ensuring accuracy to client requirements, signatures, and timely delivery.
Work with Flatstone accounting team to compile invoice requirements for submission.
Maintain and manage project control logs including RFIs, change orders, purchase requisitions, and scope change documentation.
Support the Project Manager with labour and material pricing to support change order and site instruction processes.
Support document control for drawings, specifications, revisions, and distribution.
Support field progress reporting and inspection documentation throughout the project lifecycle.
Assist in maintaining and updating project schedules in collaboration with PMs and CMs.
Support statutory declarations, substantial completion packages, and project close-out deliverables.
Operational Coordination & Field Support
Coordinate material requisitions, assist with material take-offs, and track deliveries and field usage.
Monitor field progress, subcontractor performance, and quality compliance.
Coordinate site access, onboarding, and orientation requirements for employees, contractors, and subcontractors.
Notify subcontractors of internal and client orientations.
Submit employee and contractor information to clients for site access.
Establish professional, collaborative working relationships with internal/external stakeholders.
Support Pre-Mobilization activities in coordination with the Project Manager.
Attend internal and client project meetings, as required.
Champion Flatstone's mission, vision, values, and safety culture.
Identify and recommend continuous improvement opportunities.
Perform additional responsibilities as assigned.
Commercial & Client Support
Communicate project updates and critical information to internal stakeholders and client representatives.
Assist in preparing RFPs, tender packages, budgets (including InEight), cash-flow forecasts, and progress invoicing.
Manage the procurement and purchase order processes.
Support with the issuance of contracts and letters of intent.
Prepare and manage RFIs ensuring timely response and tracking.
Evaluate subcontractor and vendor pricing and prepare bid comparison tables.
Review client change documentation for accuracy and alignment to contractual requirements.
Support financial and commercial
controls
aligned to scope, schedule, and cost expectations.
Qualifications:
Post-Secondary education in Engineering, Construction Management, Technical Diploma, or Journeyperson Certification considered an asset.
Minimum 2+ years in a project coordination or equivalent construction role (preferred).
Construction or industrial project experience strongly preferred.
Strong communication skills across field teams, technical stakeholders, and leadership.
Basic knowledge of project financial processes and cost management principles.
Proficient in Microsoft Office Suite.
Experience with project management software (InEight, Primavera P6, MS Project, etc.) considered an asset.
Strong analytical thinking, organizational capability, and problem-solving skills.
Ability to create and edit project documents, reports, and presentations.
Adaptable to shifting priorities and dynamic project requirements.
Ability to travel and work at site including remote camp locations.
Working Conditions:
Standard rotation of 2 weeks on-site / 2 weeks off while assigned to active projects.
When not assigned to a site project, this role is based out of the Tron Saskatoon Head Office, Monday-Friday.
